Full Job Description
We are looking for a reliable Office Administrator. The perfect candidate should possess a friendly and professional demeanor. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently, as well as providing support to ensure the efficacy of the Executive Director. The tasks of the office administrator will include bookkeeping, accounting, HR support, and general office duties. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company’s offices and contributes to the overall success of the organization.
Responsibilities
- Interact professionally with members, guests, and employees, answering questions and responding to phone and email inquiries.
- Process financial documents, contracts, expense reports and invoices. Review, investigate and correct errors and inconsistencies in financial entries, documents, and reports.
- Monitor daily banking transactions across multiple bank accounts.
- Maintain all accounting records by entering accounts payable, accounts receivable, invoices and expense reimbursements in QuickBooks.
- Communicate effectively with our insurance broker for general liability insurance, automotive insurance, property insurance.
- Manage human resources in handling benefits paperwork, employee incident reports and data entry to maximize team productivity.
- Process payroll bi-weekly, and all garnishments, including child support and wage assignments.
- Enforce established payroll-related policies, procedures and regulations and adherence to company and governmental policies. Respond to employee inquiries regarding payroll and timekeeping.
- Process rehires, transfers, terminations, garnishments, and withholdings.
- Generate, deliver, and monitor customer invoices. Evaluate open accounts to look for past-due balances and pursue collection strategies. Kept accounts receivable tracking database current with relevant client information, collection and billing progress and program changes.
- Responsible for compiling and recording daily deposits.
- Help with cashiering in the cafeteria as requested.
- Design and distribute monthly newsletter, activity schedule, and menu.
Essential Job Functions

- Collect any fees/donations paid; write receipts.
- Make copies.
- Organize files.
- Responsible for all mail; log and distribute, as well as post outgoing mail.
- Help with cashiering in the cafeteria as requested.
- Assist Executive Director as requested.
Skills
- Proven experience as an office administrator, office assistant or relevant role.
- Outstanding communication and interpersonal abilities.
- Excellent organizational and leadership skills.
- Familiarity with office management procedures and basic accounting principles.
- Excellent knowledge of MS Office, Excel, Publisher, Acrobat, Google Suites, and QuickBooks is strongly preferred.
Reports to the Executive Director.
Job Type: Full-time
Pay: $12.00 - $23.00 per hour
