What are the responsibilities and job description for the Chief of Staff position at Ambition Prep?
The Chief of Staff “COS” will work alongside the Executive Director and the school leadership team to achieve operational success at Ambition Prep. The Chief of Staff is a member of the school’s executive team and is responsible for operational quality, strategic quality focused on innovation efficiency, and implementation of best practices. Operational quality is a determinant factor in the success of Ambition Prep and our students. The COS ensures that all school staff are using their limited time and resources in the most efficient manner possible; that the physical space and environment facilitates and enhances excellent teaching and learning; that obstacles to academic achievement are anticipated and avoided; and that staff, students, and families are able to maintain focus on learning and growth in every moment. The COS manages other operations team members in order to create, implement, and refine systems to maximize the power and efficiency of these resources in the service of our mission.

Responsibilities and Duties
1. Management
a. Manages various members and leaders of the Ambition Prep operation and administrative team, including the School Operations Manager, Office Manager, and School Transportation Leader.
b. Builds the capacity of the Ambition Prep team through consistent delegation and coaching.
c. Manages external vendors, including but not limited to nursing, security, custodial, food service, transportation, landscaping, and others.
2. School Leadership
a. Works with the Executive Director and leadership team to make high-level decisions.
b. Helps create and implement the strategic vision for the school.
c. Problem solves as required; protects the instructional leadership team’s time by addressing issues as they arise.
3. Organizational Partnerships
a. Ensure strong partnership and alignment on key priorities with the Executive Assistant in
order to effectively support the CEO
b. Ensures that all decisions are made with families at the forefront. Oversees or participates in family meetings and events.
c. Ensures regular correspondence with families regarding school policies, updates, events, and milestones.
d. Oversee recruitment initiatives and supports the student recruitment and enrollment process, ensuring that recruitment goals are met and students are enrolled in an efficient, accurate, and compliant manner.
4. External Relations
a. Acts as a representative of Ambition Prep in the community.
b. Makes new connections with community partners and manages relationships with external organizations.
c. Support, plans and leads various events throughout the year.
5. Human Resources
a. Work with Human Resources and organizational leaders to provide capacity executing towards a vision for talent acquisition, onboarding, performance management, and professional development
b. Works to create a positive staff culture and teaching environment.
6. Finance and Budgeting
a. Ensures supply purchases and understands overall supply budget as well as all other department level budgets.
b. Manages equipment and budget.
7. Facility
a. Manages and oversees the Facility Manager, custodial staff and maintenance vendors and tenants.
b. Is responsible for overall visual impression and cleanliness of the school and ensuring all building decorum is maintained and reflects the Ambition Prep brand.
c. Is on-call for any security or emergency issues that may arise during non-school hours.
8. Technology
a. Oversees the purchase, maintenance, and inventory of technology equipment, implementation of technology training, and management of technology consultant relationships to ensure that the school has a fully functioning technology infrastructure.
9. Food Service
a. Oversees management of food services by ensuring that food service is reliable, healthy, and efficient.
b. Works with the Federal Programs Manager to ensure the school meets all compliance standards and is prepared for audit.
10. Transportation
a. Serves as the state-required Transportation Supervisor for the school.
b. Ensures that transportation is safe and reliable and that as many transportations barriers as possible are removed.
d. Ensures the school meets all compliance standards and is prepared for audit.
11. Daily Systems
a. Create alongside the operations team and oversee daily procedures within the school, including morning arrival, breakfast, transitions, lunch, snack, and dismissal.
13. Additional Responsibilities
a. Ultimately, the Chief of Staff is an executive leader at Ambition Prep. Therefore, the Chief of Staff regularly takes on additional responsibilities and does whatever it takes to ensure Ambition Prep students and staff have what they need in order to be successful.
Desired and Required Characteristics
Bachelor's degree required, (Master’s degree preferred)
Background check passed, required
Strong computer skills, including Google Suite
Experience in working with teams and individuals to meet specific and strategic outcome
Ability to perform the physical requirements of the job.
