The Office Assistant role is a unique opportunity to work closely with all of our Tenant’s throughout St. Johns County. As an Office Assistant, you will play a crucial role in supporting Superior’s Broker/Owner and contributing to the firm's success.
Knowledge of grammar, spelling, business, English, and math.
Ability to use the Internet effectively
Professional communication orally and in writing
Demonstrated ability to interact and work well with people
Works cooperatively with others
Follow written and oral instructions
Operate common office machines, computers, and software applications
Answer a telephone in a professional and courteous manner
Handle confidential materials
Handle multiple tasks in a professional and courteous manner with a high degree of quality and attention to detail
Have reliable transportation
Knowledge of paper and electronic filing systems
Strong organizational, prioritization, and time management skills
Ability to work independently
Provide administrative support
Manage multiple schedules
Communicate and maintain relationships with tenants, customers, contractors and other vendors
Assist in creating real estate listings for public viewing
Schedule property showings and conduct showings as needed
Handle requests from tenants using a management system and see through completion
Keep the lead agent informed regarding any problems or issues that need to be handled
Other duties as assigned
Tenant insurance renewals
Vendor insurance requests and renewals
Property inspection reports
Manage tenant maintenance requests and see through to completion
Property key management
Assist with lease renewals
Ensure timely processing of prospective tenant applications.
Ensure timely payment of tenant rent, fees, and posting of rent checks
Keep organized tenant files
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Professional communication skills- phone, email, and various messaging systems
Experience using Appfolio- property management software
Familiar with real estate contracts- including sales and lease agreements
Marketing experience
Job Details
Monday-Friday, 9:00-5:00 (may vary), in-person. Some flexible daily hours may be required.
Weekend flexibility is a plus.
40-hours per week expected
Paid 30-minute lunch
Paid major holidays
Experience in property management accounting, business, or related field
Educational experience- 2-year degree minimum or comparable real estate industry experience
