American Global has an exciting opportunity to join our company as an Executive Assistant in our Jericho, NY office. This role is an opportunity to join a growing team and company and be a part of the operations of a global insurance and surety firm.

This is a highly visible and dynamic role, assisting our C-Suite Executives as well as Senior Leadership. This position requires an extremely detail oriented person who is self-driven and loves a challenge.

What are the essential duties & responsibilities in this role? 

  • Provide day-to-day EA support to the CEO and the executive team
  • Proactively reviews and coordinates company executive’s calendar and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness.
  • Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained for executive staff as well as corporate expenses.
  • Responsible for confidential and time sensitive material, professionalism and discretion is critical
  • Exercises considerable judgement and discretion in handling requests for appointments and telephone calls.
  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
  • Manages the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed
  • Maintains office facilities and equipment by assisting with procurement and routine maintenance and upkeep (included but not limited to Printers, Board Room Video Equipment, etc.)
  • Assist with other projects and tasks as needed

  

 What do you need to be successful in this role? 

  • Associate’s degree or equivalent desired
  • 5 years of experience in executive support
  • Proactive self-directed decision-making skills
  • Technology knowledge including Microsoft 365, iPhone/Android use, Outlook calendar management
  • Excellent organization and time management skills
