Position Overview
The Operations Administrator plays a pivotal role in ensuring the smooth coordination of logistical operations within the company. This position primarily focuses on managing FedEx deliveries, overseeing inventory control, assisting with truck routing, and maintaining operational efficiency. The incumbent will also handle administrative tasks related to shipping, tracking, and reporting to support the overall operational workflow.
Responsibilities Include
- Coordinates all FedEx Deliveries throughout the day.
- Prints all customer, Salesman, and FedEx manifest sheets.
- Backfill for Truck Routing when SR Warehouse Manager is out on vacation or sick time.
- Assist in coordinating truck routing in the absence of the SR Warehouse Manager.
- Assist on Inventory Control Program.
- Support in managing and updating the inventory control program as needed.
- Helps keep operations files in order.
- Ensure organization and maintenance of operational files for easy accessibility and reference.
- Checks daily what customer/salesmen pick-ups were left behind from the day before.
- Contact customers to advise them of the need for pick up.
- Follows up on all FedEx exceptions and investigates all FedEx returns and damages:
- Works with customer service to ensure customers receive their products.
- Submits claims for any damaged or undelivered (lost) deliveries and follows up to ensure completion.
- Manifests All driver truck loads: This includes manifesting all FedEx, CTX, PYLE, and Salespeople orders.
- Tracks, logs, and reports fuel usage.
- Creates pick-ups for CTX and Pyle Deliveries.
- Tracks and reports mileage for Delivery trucks.
The ideal candidate will have.
- Previous experience in logistics coordination or similar roles preferred.
- Ability to operate in a high-volume environment during extremely busy peaks season while executing multiple projects simultaneously.
- Experience in a fast pace, high volume unit pick fulfillment DC environment.
- Detail-oriented, well-organized, and accurate.
- Proficiency in using FedEx systems and other relevant shipping software.
- Some knowledge of or interest in logistics, asset management and project management and intermediate skills in Excel and power point and able to learn new systems quickly.
- Excellent follow-up skills.
- Hands-on strong problem-solving skills
- Willing to work overtime, if necessary.
- Strong verbal and written communication skills.
- Team player attitude.
- Must be responsive to senior management and other internal/external clients.
- Regularly lift and/or move objects 10-50 lbs.; occasionally, with team support, lift and/or move objects greater than 30 lbs.
