Note: APA operates on a 37.5-hour work week with one hour lunch breaks each day. APA sets salaries based on several considerations, including years of relevant experience, level of education, and previous staff and/or governance experience at APA.

The Program Officer manages APF’s more than 90 award, fellowship, grant, lecture, prize, and scholarship programs and is responsible for the successful distribution of approximately $1,600,000 each year. The Program Officer ensures that the process flows smoothly, coordinating among staff, trustees, review committees, applicants, nominators, and nominees for the various grants, awards, scholarships, and prizes. The position encompasses four main areas:

  • Manages the operation of APF’s programs to achieve maximum impact: design new grant programs: ensure APF application requirements conform to best practices, communicate with applicants, volunteers, grantees, trustees, and donors;
  • Manage the grant review process: serve as staff liaison for the APF review committees: develop procedures and systems to ensure the grant processes flows smoothly and ensure committees follow them;
  • Serve as the staff liaison to the Grant and Evaluation Committee: develop and implement evaluation strategies and processes for all APF programs, projects, awards, scholarships, and prizes;
  • Assists with the coordination of all APF lectures and symposia at the APA Convention and staffing of special projects.

Education and Experience Required:

Bachelor’s degree required,
  • - Psychology, Public Policy, Journalism, Communications, or Business major preferred
  • Master’s or PhD Preferred
  • 8 years of experience in a nonprofit development office or in a foundation environment required
  • 2 years experience with program or grant management
  • 2 years of experience in writing, editing, proofreading.
  • 2 years of experience with psychological research to understand and help screen grant applications.
  • Experience with evaluating grants or research is preferred

Computer Skills Required:

  • Advanced MS Office
  • Advanced database software (Salesforce, Raiser’s Edge, GLM preferable)
  • Advanced in PsycInfo
  • Proficient in grants management software

Responsibilities:

  • Manage APF’s more than 90 different funding programs to achieve maximum impact.
    • Create and maintain applications on APF’s online application portal and grants management database.
    • Communicate with applicants, volunteers, grantees, trustees, and donors on the APF grant application and review requirements.
    • Design and institute application and review structures for new grant programs in collaboration with APF leadership.
    • Ensure APF application requirements conform to best practices.
    • Assist in planning and tracking the grantmaking budget to ensure APF stays within budget.
  • Manage the grant review process.
    • Serve as staff liaison for APF review committees
    • Recruit experts to serve on grant review committees in consultation with the leadership team
    • Set and coordinate deadlines for various awards, scholarships, and grants.
    • Develop procedures and systems to ensure the grant processes flows smoothly and ensure committees follow them
    • Develop ballots and other materials for APF review committees.
    • Analyze results of grant review committees’ rankings.
  • Serve as staff liaison to the APF Board of Trustee Grant and Evaluation Committee.
    • Develop and implement evaluation strategies and processes for all APF programs.
    • Keep abreast of best practices in philanthropic evaluation and grants administration.
    • Write agendas and other materials for the committee in consultation with the APF leadership team.
  • Coordinate APF lectures, symposia and other events at the APA Convention in conjunction with the APF Communications department.
    • Serve as the APF staff liaison for the APF/APA Awards
    • Assist in identifying APF grantees on the convention program.
  • Other Duties as Assigned
    • Write agenda items and take minutes for Board of Trustee meetings and grant review committees
    • Assist in developing articles on APF grants
    • Assists with development activities
