What are the responsibilities and job description for the Administrative Assistant position at American Water Heater Service?

The Administrative Assistant will assist the Operations Administrator with the day-to-day operations of the office by doing tasks such as filing paperwork, responding to emails, bank deposits, sorting mail, preparing documents, data entry and managing multiple calendars for both the Operations Administrator and Dispatch Managers. We are looking for an honest, reliable, energetic, self-motivating and organized administrative assistant that can plan for the unexpected, embrace change, and see tasks through completion.

Base pay is $20/hr, after the introductory period this rate will change based on skill level.

Job Duties:

  • Calendar management: schedule and manage appointments
  • Tracking time spent on projects
  • Assist in new procedure development and roll out
  • Address incoming emails in a timely manner
  • Assist with team on-boarding and training procedures
  • Manage office supply inventory
  • Maintain the organization of network shared folders
  • Collect and sort incoming mail

(Willing to train)

  • Basic computer skills: word processing, spreadsheets, google drive, and Quickbooks
  • Ability to use the internet for research navigating basic office equipment and protocols
  • Ability to communicate verbally and in writing effectively
  • Work in a fast-paced environment while providing superior service

  • Reliable transportation required

  • Self-motivated, organized and detail-oriented
  • Good verbal and written communication skills
  • Works well in a team environment
  • Approachable yet professional
  • Punctual, honest and dependable

Job Type: Full-time

Pay: From $20.00 per hour

  • 8 hour shift
  • Monday to Friday

Supplemental pay types:

  • Administrative Assistants & Receptionists: 1 year (Required)
