Job Role and Responsibilities
- Under the direct supervision of the Compliance Manager, this position provides support for fast-growing pharmaceutical company compliance program by directly working on Compliance projects requiring high volume document review.
- The Compliance Assistant assists the compliance Manager in monitoring the effectiveness of company compliance program and helps in compliance related projects.
- Helps the compliance manager to coordinate with other organizational functions such as human resources, legal affairs, and others, educational and training programs focusing on the elements of the compliance program to ensure that the staff is knowledgeable of and comply with applicable federal, state, and industry standards.
- Assists on ensuring the pharmacy operations adhere to the Federal and State(s) regulation and Accreditation Organizations standards. Assist on Promoting a strong code of ethics and integrity within AmeriPharma operations including implementing set plans and policies for employees to follow.
- In addition, this position requires administrative work including but not limited securing and organizing files and notes, email and phone correspondence, data entry, digital document management, ordering supplies, printing, faxing, and scanning, managing meetings etc.
Essential Functions
- Electronic organization of Quality and Compliance records.
- Data entry in proprietary databases and Excel.
- Ensure proper documentation and data is received in a timely manner.
- Maintains and updates hard-copy and electronic filing system for the Department. Retrieves information from files when needed.
- With guidance by the compliance Manager and the pharmacy manager/designee, participates in the evaluation of compliance with The CA Board of Pharmacy regulatory requirements.
- Organizes and prioritizes large volumes of information and emails.
- Documenting meeting minutes related to the Quality and Compliance department.
- Organizing Quality and Compliance Trainings to employees.
- Monitoring Pharmacy Licenses and Accreditation Awards.
- Participates in data collection and evaluation to support the company Quality Improvement Program.
Skills Requirements
- Outstanding written and verbal communication skills.
- Excellent time management skills and ability to multi-task and prioritize work.
- Have good interpersonal skills.
- Good statistical ability.
- Task Oriented.
- Attention to detail and problem-solving skills.
- Able to organize and manage large amounts of data.
- Proficiency in MS Office Proficiency in Excel (i.e. run pivot tables, prepare reports and data for summary review by management).
Education/Experience Requirements
- Associates degree
- 3 to 5 years of data-driven administrative or compliance experience
Preferred Skills and Education
- Bachelor's degree in Healthcare or Business Management (preferred)
- Thorough understanding of ethics, regulations, and laws including but not limited to CMS, HIPPA, FWA, CA BOP, FDA, DEA, EPA, OSHA, ADD, etc. (preferred)
- Familiar with Specialty and/or LTC Pharmacy systems and operations (preferred)
- Familiar with Compliance Investigations and Risk Assessments (preferred)
