Title of Job: Administrative Assistant Project Teams
Status: Non-exempt
Reports To: Operations Manager
Summary of Position: The Administrative Assistant will provide administrative support to the Project Team as directed.
Job Responsibilities/Essential Functions:
· Answering phones and responding to employee and vendor inquiries
· Making Customer notification and follow-up calls
· Create and edit memos, faxes, spreadsheets, and presentations
· Coordinate meetings (scheduling, set up/clean up, snacks/coffee, pick up lunches)
· Maintaining files
· Scanning and Data entry
· Request vendor paperwork, ensure all subcontractor requirements are met and filed electronically
· Receive, track, and save paperwork and photos
· Sorting and internal delivery of mail
· Shipping
· Post Photos/Sign Off's/PO's per procedure
· Update all systems and spreadsheets
· Create and Distribute Custom Project Reports
· Collect Sign Offs
· Other duties as assigned

Minimum Qualifications:
18 years of age or older
Must be able to pass a drug test
Must be able to pass a background check
