We are looking for an Administrative Assistant to be based at our Batavia, IL location reporting to General Manager.

Job Summary

Overview of position

The Administrative Assistant performs a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our site’s general administrative activities.

Responsibilities:

  • Provide administrative support to facility managers and employees with a variety of clerical tasks.
  • Answer phones in a courteous manner, and schedule appointments for Receiving Dept. deliveries.
  • Greet visitors, agency temporary workers, and service providers. Confirm approved access to facility, and maintain visitor logs, to ensure safety and security for associates.
  • Identify service and supplies providers, request quotes and schedule service for building and equipment maintenance, repairs, and mandated inspections.
  • AP vendor invoice processing includes validating costs, apply coding, and approving vendor invoices in company AP processing system, and resolve any disputed charges as needed.
  • Bill clients for freight carrier shipment charges, including calculating bill back amounts against client contractual rates, and entering charges into company freight billing system.
  • Calculate and distribute client accruals
  • Custom kit assembly processing
  • Client invoice processing
  • Provide support to Accounts Receivable Dept.

Knowledge of:

  • Office management systems and procedures (MS Office Suite)

Skilled In:

  • Time management techniques
  • Written and verbal communication
  • Administrative Assistant functions
  • Organizational techniques

Ability To:

  • Multi-task
  • Manage tasks in compliance with company policies and operating procedures
  • Speak articulate, confident and professional
  • Write professionally (emails, presentations, memos etc.)

Selective Preference:

The ideal candidate will have 3 years of experience and high school diploma.

Experience:

  • Accounts payable: 2 years (Required)
  • Clerical: 2 years (Required)
  • Accounts receivable: 1 year (Preferred)
