JOB TITLE: Bookkeeper & Office Assistant
YOUR MISSION: The Bookkeeper & Office Assistant will ensure seamless and responsive support to our general manager, clients, partners, and the Anchor Builders team. Exemplifies strong financial aptitude, detail orientation and communication skills with the ability to prioritize, multi-task, and see tasks through on time and to completion.
Duties & Responsibilities
Bookkeeping & Administration:
- Supports the General Manager in routine and priority needs; and special projects
- Collects, organizes, and prepares for weekly, monthly, quarterly and ad hoc financial and business reporting in collaboration with third party accountant and CPA
- Maintains accurate and detailed documentation and provides timely responsiveness
- Supports bidding & billing via project mgmt. tool, email communication, documentation, and organization
- Enter and interface BuilderTrend and Quickbooks Online system. Research and resolve errors and inaccuracies.
- Manage accounts payable and accounts receivable for all business centers (design, build, framing)
- Adheres to ensures success of accounting cycles and processes; timely month end close-out, matching income to expenses entries month-over-month, updating budget actuals and debt schedules, etc.
- Prepares for and participates in monthly construction phase meetings
- Process monthly construction draws for each client and reconciles. Coordinate funding with client banks for construction draws, including securing lien releases, client sign offs, etc.
- Administer and periodically audit subcontract documentation including subcontractor agreements, insurance requirements, etc.
- Manages the reception area to ensure effective telephone and mail communication both internally and externally to maintain a professional image
- Responsible for office operations; managing supplies, technology, equipment and housekeeping·
- Participates in team meetings; conference room setups and any errands associated
HR Support:
- Payroll processing, benefits administration, and related tasks
- HRIS systems integrations, data entry and organization
- Screening, hiring, and on-boarding liaison and coordination
- Employee reviews preparation, scheduling, and filing
- Annual benefits renewals and coordination
- Cultural programming, events, & initiatives support
- HR documentation organization
Education/Experience
Considerations:
- Three years of bookkeeping or general accounting experience; with general understanding of the relationship between financial information and systems; from accuracy of entry and processing to integrity and reliability of reporting.
- Proficiency in QuickBooks Online; ideally familiarity of BuilderTrend
- Degree preferred, or equivalent combination of education and experience.
- Strong relationship, analytical and problem-solving skills.
- Ability to work independently and perform at a high level of accuracy.
- Committed to meeting deadlines and goals.
- Flexible to adapt to an evolving scope of responsibilities.
- Ability to maintain confidentiality with respect to sensitive information and conduct oneself in a professional and courteous manner that demonstrates integrity, trust, care, and collaboration.
Compensation & Benefits:
- Pay Type: Salary
- Pay Range: $50,000 to $60,000 per year, based on qualifications and experience.
