    POSITION TITLE: Attendance/Book Depository/Library Office Professional/Secretary

    FTE 1.0 (10 month)

    POSITION LOCATION: Community High School

    SALARY: Cat. C, AAEA/OP Salary Schedule

    REPORTING RELATIONSHIP: Principal
    QUALIFICATIONS REQUIREMENTS:

    The following is a list of qualifications for the position, any one of which may be waived by the Board in exercising its prerogative to determine qualifications.

    EDUCATION AND EXPERIENCE:
    High school diploma or general education degree (GED); with a minimum of three years related experience/or training.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:
    • Enforce requirements for issuing and dissemination of textbooks to/from students and teachers.
    • Maintain an accurate, up-to-date inventory of textbooks.
    • Make and receive telephone calls, route calls, answer routine telephone inquires regarding procedures and take messages.
    • Greet visitors and assist students and staff that enter the book depository.
    • Prepare purchase orders as directed.
    • Perform minor repair of books.
    • Determine fines for damaged and/or lost books.
    • Collect monies for lost/damaged textbooks.
    • Generate various reports-books lists, obligations and letters of collection.
    • Receive/process new books for circulation.
    • Assist with special projects.
    • Provide additional assistance in the general and attendance office on an as needed basis.
    • Supervise students and parent volunteers in the bookroom.
    • Communicate with parents, students and vendors regarding textbooks..
    • Assist SLC Principal and testing coordinator with distribution of AP Course textbooks and information for summer assignments.
    • Maintain obligation list for textbooks and submit to SLC Principal/s periodically as needed.
    • Comply with all policies and procedures for standardized testing per exams, Michigan Merit Exam PSAT/NMSQT, PSAT 10, PSAT 9, MSTEP, AP Exams, WIDA/ELL, MI-ACCESS and other standardized tests.
    • Attend training for specified testing in-service training by various testing departments for division such as the State, District, or Local levels for testing guidelines.
    • Check in and secure test materials.
    • Assist testing Supervisor and staff with testing assignments.
    • Take/transcribe notes for correspondence and minutes.
    • Review mailings from testing centers and communicate as necessary.
    • Assist testing accommodations coordinator.
    • Prepare documentation for testing notifications.
    • Assist with update and maintenance of BAA site for State of Michigan.
    • Take in-service training as stipulated by contract.
    • Compile and distribute testing data reports to administrators and counselors.
    • Distribute testing results to students for all standardized tests.
    • Record attendance daily from the attendance hotline and for field trips.
    • Attend work on a regular and reliable basis.
    • Other duties may be assigned.
    • This is a full time position, requiring regular reliable and predictable attendance on site to successfully perform the essential functions of this job.

    LANGUAGE SKILLS: Ability to read and recognize the European Language is helpful for distributing books. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before staff.

    MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as discounts, interests, commissions, proportions, percentages, area circumference and volume.

    REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    OTHER SKILLS and ABILITIES: Ability to operate computer at an intermediate level to include operation of word, excel, database programs and internet. Ability to operate office machines. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.

    PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to stand, walk, bend, sit and reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee will occasionally be required to push up to 25 lbs and must be able to lift and/or move up to 50lbs, such as boxes of textbooks. Specific vision abilities required by this job include close vision, distance vision, and depth perception.
