Job Summary:
A Monroe, Louisiana based Independent Financial Advisory firm is seeking a dynamic individual to join our team in the role of Administrative Assistant and Client Service Associate. This position requires a hardworking, articulate candidate comfortable in a fast-paced environment. The ideal candidate will possess strong organizational skills, attention to detail, and a proactive approach to tasks. Additionally, excellent communication skills and the ability to interface effectively with clients and service providers are essential.
Essential Duties and Responsibilities:
- On-boarding and account maintenance
- Determining and executing client service needs
- Schedule and confirm client appointments via phone and email.
- Manage incoming communications and visitors, both in person and via a multi-line phone system.
- Maintain detailed client notes and records, ensuring compliance with regulatory standards.
- Maintain a clean and orderly office environment.
- Obtain industry knowledge and familiarity with internal and Broker-Dealer resources.
- Cross-train with team members to provide backup for operational duties as needed.
- Provide exceptional client service and support.
- Serve as the main point of contact for clients, addressing inquiries and resolving issues.
- Assist with data entry and maintaining accurate client records.
- Proofread documents and materials for accuracy and clarity.
- Manage office tasks such as filing, organizing, and maintaining supplies.
Education and Experience:
- Experience in the financial services industry and administrative support is preferred.
- Some educational background in accounting, risk management, and finance is beneficial.
- Must pass a background check and be fingerprinted.
