Ansar of Pittsburgh (ANSAR) is a nonprofit organization working with refugee and immigrants in the larger Pittsburgh area for over seven years. ANSAR is looking for an administrative assistant to join our growing team. An Administrative Assistant shall organize and oversee all administrative and clerical functions to ensure ANSAR’s operations run as efficiently as possible.
QUALIFICATIONS:
One to two years’ experience working as an Administrative Assistance. Degree preferred is a bachelor’s degree in business, accounting, or similar course work, or a minimum of five years of relevant experience with a High School Diploma.
Excellent organizational skills required. Excellent written and communication skills required. Be alert to cross-cultural interference in dealing with clients and behave in a culturally sensitive manner. Ability to develop positive working relationships with internal staff and community partners. Speak a second language is a plus (For example, Spanish, French, Arabic, Ukrainian, Russian). Experience with office management software like MS Office (MS Excel and MS Word, specifically). Strong organizational skills with a problem-solving attitude. Excellent written and verbal communication skills, Attention to details.
POSITION SUMMARY
This position reports to CEO ANSAR. It provides administrative support to ensure efficient operation of the office. Supports CEO Ansar of Pittsburgh and employees through a variety of tasks. Responsible for various day-to-day administrative tasks in support ANSAR’s programs. This position supports the program in meeting documentation requirements laid out in the Cooperative Agreement governing resettlement services.
DUTIES AND RESPONSIBILITIES
1. Ensuring office supplies are maintained, including checking inventory and working with vendor to ensure adequate levels of necessary supplies at all times
2. Prepare regular reports on expenses, grants and office budgets. Manager resettlement and program weekly and monthly reports ANSAR@2022
3. Ensuring the confidentiality and security of files and filing systems. Maintain an update company database. Keep client immigration files up to date, both paper and electronic files.
4. Answer queries by employees and clients
5. Update office policies as needed
6. Bookkeeping and tracking order material
7. Maintain a company calendar and schedule appointments. Schedule in-hours and external events
8. Prepare reports and presentations with statistical data, as assigned
9. Arrange travel and accommodations. May require travel to welcome families from airport and to events when needed
10. Scanning and electronic filing of documents, tracking client documentation including financial expenditures
11. Work well as a part of a cohesive team and support colleagues while working to serve the best interests of clients
12. Assist interns and volunteers as appropriate to complete their duties. Assist Supervisor/CEO with the training and oversight of interns and volunteers
13. Participate in staff development and training opportunities provided by ANSAR to maintain accredited representation or licensing status
14. Be alert to cross-cultural interference in dealing with clients and behave in a culturally sensitive manner to be able to respond appropriately to the cultural characteristics of the clients 15. Enter and submit timesheets on a weekly basis
16. Assume other responsibilities as assigned. Salary and Benefits Salary is $36 – 44 K annually based on qualification and work experience.
