Litigation Calendaring Coordinator/Administrative Assistant
Apex Family Law is searching for you - an energetic and experienced (min. 2 yrs.) calendaring coordinator/administrative assistant. The Calendaring Coordinator/Administrative Assistant will be involved in several essential firm areas. This will require an individual who is well organized and can juggle various tasks throughout the day in order to meet strict, often quick deadlines. Equally as important are the abilities to work independently, communicate effectively in a professional demeanor and practice strong critical thinking skills.
The Calendaring Coordinator/Administrative Assistant’s tasks will include:
- Performing all firm litigation calendaring responsibilities.
- It is the calendaring coordinator’s responsibility, using the firm’s docketing software, to keep the firm’s docket up to date and maintained in a manner that ensures that all case activities and filing deadlines are properly reflected on calendar and communicated to all relevant parties. (A working knowledge of court rules and understanding of legal documents is necessary.)
- Processing incoming and outgoing mail.
- The position requires working in the firm’s downtown San Francisco office to process incoming and outgoing mail. Any case related activities/deadlines provided via mail will need to be identified and properly entered into the firm’s calendar and filing system, and all mail will need to be properly filed and distributed within the firm.
- Other Administrative responsibilities include:
- Supporting the President and Executive Director.
- Coordinating with vendors and other service providers.
- Ordering supplies
- Assisting with firm events and meetings.
- Filing documents.
- Other administrative tasks as deemed necessary.
Generally, if the docketing and mail activity is complete, the administrative duties may be completed remotely. Apex Family Law offers competitive salary, 401(k), medical and other benefits.
