Apex Systems is seeking an Executive Financial Assistant to support a large Finance/Banking client in Laurel, MD. Primary responsibilities include financial analysis to maximize the IT investment, vendor and budget management.
PRINCIPAL ACCOUNTABILITIES AND FUNCTIONS:
Financial Analysis:
- Analyzes month end financial results to identify and correct errors, omissions and possible irregularities in the IT division’s programs, including Board Action Items and IT budget expense tracking
- Improves financial status by analyzing results; monitoring variances; identifying trends; and recommending actions to IT management.
- Monitors flow of IT transactions from the various supporting systems into and out of the relevant general ledger accounts on a daily basis, and identifies and resolves errors, omissions, and irregularities to provide accurate records for IT programs and initiatives.
- Verification of invoices received against contractual rates to support cost savings
- Liaison with Accounting to ensure budgets and procedures align with the credit unions' accounting principles.
Vendor Support:
- Works directly with ITS vendors and service providers on billing, contract terms, and service agreements
- Creates and maintains vendor reporting in order to verify vendor invoices and total spend for Information Services.
- Provides Core Systems Vendor liaison support with Accounting.
Budgeting:
- Has delegated authority to manage and prioritize workflow, and initiate communications on behalf of the Vice President, Information & Technology Services regarding oversight of and follow-up reporting on budget, vendor communications, operational activities, and projects.
- Works with accounting center managers to develop their budgets, and maintains the budget database in order to provide timely, accurate financial data reporting that meets internal and program management needs
Budget & Expense Reporting:
- Creates and maintains the financial reporting and budget database in order to provide timely and accurate financial reports that meet internal and external requirements. Responsible for the timely compilation and submission of all financial reports on a monthly, quarterly and annual basis.
- Prepares, tracks and reports on the status of the IT budget keeping records of all expenses spent through the current year. Using the budgeting system, this position drives the creation of the budget for the department, based on previous years’ expenses and anticipated expenses and has total access to all budgets within the department
- Assists with preparation and submission of expense reports.
- Compiles and presents recurring monthly budget reports for senior management and key stakeholders.
- Develops ad-hoc reporting as required for the entire department.
Staffing Support
- Works directly with ITS staffing vendors to review open positions and keeps staffing and onboarding procedures current.
- Provides timecard approval for contractors
- Experience managing a departmental budget – including forecasting and tracking
- Experience partnering with vendors, systems integrators, and other 3rd parties to deliver services
- Demonstrated experience in governance, process improvement, and building or maturing information technology products and services
- Prior experience as an individual contributor in a technical discipline (analyst, developer, system administrator, network engineer, etc.)
- Experience/familiarity with governance and management of cloud-based solutions preferred
