Essential Job Functions
  • Serve as the primary administrative support for all professional staff in the Office of Case Management. Assist the case managers with preparation for student meetings and referrals
  • Data entry
  • Digital file maintenance
  • Manage data entry and retrieval from Maxient for weekly and annual reports
  • Manage and triage correspondence and incoming referrals
  • Develop best practices relevant to the support needs of the office
  • Maintain confidentiality and privacy with an understanding of federal regulations regarding HIPPA, Clery Act, FERPA, and University policy
  • Assist the case managers with preparation for student meetings and referrals
  • Schedule and coordinate appointments, meetings, and events for Case Management
  • Understand and apply features of a variety of software programs (Banner, AppState Careers, Maxient), machines, and office equipment that will produce the desired results
  • Manage budget inflow and support for all student emergency funds and scholarships
  • Serve as a primary backup to administrative staff for student employee supervision, ordering office supplies, budget reconciliation, and maintaining phone and email correspondence from the Office of the Dean of Students front desk phone and email

Preferred Qualifications
  • Experience working with the conduct and case management database system, Maxient
  • Experience working in a Dean of Students Office
  • Experience developing and executing programs for either students, faculty/staff, or parents and families

Communication-Verbal: Applies knowledge of programs, policies and procedures to interpret and communicate information to meet specific needs of staff and clients. Demonstrates the ability to work with confidential and sensitive information.

Knowledge-Program: Understands programs and services to apply this knowledge in problem-solving and responding to most questions and inquiries. Uses program knowledge to interface with other offices and organizations.

Work Coordination: Facilitates flow of work throughout a dynamic work unit. Coordinates and directs the office support activities and manages a wide variety of records, reports and files. May develop new processes or procedures relevant to the support needs of the office.

Pay will be commensurate with applicant competencies, budget, equity and market considerations.
