Join Aprio's Administrative team and you will help clients maximize their opportunities. Aprio, LLP is a progressive, fast-growing firm looking for an Office Administrator to join their dynamic team in New York Office.
Position Responsibilities:
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
- Responsible for managing the front desk and reception for the office
- Possess a general understanding of invoicing and reporting in a professional services environment
- Preparation of expense reports
- Handling confidential correspondence and files and new client set up
- Coordinating and managing workflow with the team
- Support with processing of certified mail
- Order supplies, call for service, coordinate with IT department
Qualifications
Qualifications:
- Ability to analyze and revise operating practices to improve efficiency
- Detail oriented and comfortable working in a fast-paced and time sensitive office environment
- Proficiency in multi-tasking and prioritizing using strong problem-solving skills and the ability to self-direct
- Aptitude for working with a diverse group of important external clients as well as internal associates at all levels of the organization
- Exceptional written and verbal communication skills are necessary
- Superior organization skills and dedication to completing projects in a timely manner
- Organizes and prioritizes large volumes of information and calls
- Acts as the ambassador of the department
- Ability to work independently and acts as project manager on special projects
- Proofreads for spelling, grammar and formatting, making appropriate changes. Responsible for accuracy and clarity of final copy
- Ability to learn quickly and become proficient with Aprios Windows based applications
- High school diploma or general education degree (GED)
- Preferred Associates/Bachelors degree
- Minimum of five (5) years related experience in a management support role, preferably CPA or law firm
- Proficiency in MS Office with expertise in Outlook, Word, PowerPoint and Excel is essential.
- Experience in Salesforce is a plus
- Able to work additional hours February through April and September through October
- Self-motivated professional with proven independent judgment and decision making
