Role:
The Administrative Assistant will provide support on several project tasks. Manage all logistics for multiple weekly client meetings to include meeting scheduling, creation of agendas, and taking of meeting minutes. The Administrative Assistant will maintain project logs including tracking of deliverables; create reports as needed; proofread and edit draft documents.
Duties:
The Administrative Assistant:
- Provides day-to-day support to the project team.
- Utilize CMS systems using an RSA token or PIV card, upon approval from CMS.
- Prepare meeting materials, including creating calendar invitations, drafting meeting agendas, taking meeting minutes.
- Assists with meeting & event logistics for client webinars; including, but not limited to, securing dates with the event Administrator, updating checklists, overseeing the registration for the event, ensuring deliverables are 508 compliant, capturing minutes, and QA from sessions.
- Coordinates the creation of the visual transcripts for all computer-based training deliverables.
- Maintains project logs (action items, risk/issue, decision, deliverables, lessons learned, etc.)
- Coordinates the upload and delivery of project deliverables and artifacts internally and to CMS.
- Other duties as assigned.
Required Skills:
- 2 years of work experience as an administrative, executive assistant, or similar role, with a bachelor’s degree in English or a related field.
- 6 years of work experience as an administrative, executive assistant, or like role, without a bachelor’s degree.
- Excellent verbal and written communication skills, expert knowledge of the English language.
- Experience proofreading and revising professional-level documents; detail-oriented and thorough.
- Excellent organization and time-management skills.
- Intermediate to expert level experience in MS Word, Excel, PowerPoint, and Outlook.
- Ability to multitask and prioritize tasks.
- Analytical and problem-solving abilities.
- Proven ability to work well with others.
- Flexibility and ability to adapt to changing priorities.
Preferred Experience:
- Experience supporting Centers for Medicare and Medicaid, or other Federal health agency contracts.
- Familiarity with SharePoint, OneDrive, Confluence, Adobe Acrobat, Zoom (conferencing platform), and/or 508 compliances.
