GENERAL PURPOSE OF POSITION
In a manner that is welcoming, compassionate and collaborative the Pastoral Assistant is responsible for coordinating, supporting and working with the pastor and clergy, parishioners, staff and volunteers in support of sacramental activities at the Parish. This will include, and is not limited to, funerals and weddings. This is a Regular, Full-Time position.
MAJOR DUTIES AND RESPONSIBILITIES
First point of contact for all funerals, weddings, and annulments.
Responsibilities for Funerals
- Maintain the sacrament records for the parish.
- Prepare celebrant schedule for Masses and other liturgical events
Responsibilities for Engaged Couples and Marriage Preparation Ministries:
- Respond to phone inquiries for program information
- Conduct the initial interviews with couples, schedule wedding date and provide an overview of Pre-Marriage Preparation requirements
- Coordinate appointments for engaged couple with the pastor or deacon
- Develop and maintain marriage schedule in conjunction with pastor, associate pastor, deacon, Pre-Marriage preparation counselors, Natural Family Planning classes, Music Director, and Wedding Liturgy Assistants.
- Liaison between engaged couples and Marriage Counselors
- Liaison between engaged couples and Wedding Liturgy Couples, Music Director, AOD for Natural Family Planning classes
- Conduct Pre-marriage workshop in conjunction with staff from Blessed Sacrament Cathedral 2-3 times yearly. Host program here as needed.
- Prepare information packet for each couple
- Maintain marriage files in compliance with Archdiocesan requirements
- Secure necessary dispensations, permissions, delegation for clergy for weddings.
- Schedule wedding rehearsals and weddings
- Prepare materials & notes necessary for rehearsal for Wedding Liturgy Couples
- Prepare materials & notes required for day of wedding for presider and couple
- Prepare and mail Marriage License in compliance with State of Michigan requirements
- Record marriages in marriage registry and baptismal registry
- Notify baptismal parish of wedding
- Forward information for newly married couple to parish receptionist for the purpose of updating parish records
- Responsible for maintenance requests for all programs and setting up for programs and events.
- Support Wedding Liturgy Assistant Team – manage team schedule, develop and update team materials, facilitate team meetings and training
Responsibilities for Annulments:
- Work with pastor, associate & deacon in support of annulment process:
- Create file for paperwork received from pastor/associate pastors/deacon for applications
- Verify all required documents and testimony are present, complete and accurate
- Copy completed file and forward original application and documents to AOD
- Maintain files as updates arrive from Archdiocese
- Follow up with clergy regarding status of case.
- Maintain dialogue and update applicant as requested by clergy
- Forward any requests for information from AOD related to an annulment to the appropriate individuals
- Record in Baptismal or Marriage Registry any notifications received by AOD regarding annulment, etc. of a marriage.
- Archive cases as resolved
Financial Responsibilities:
- Review programs on a regular basis for cost saving opportunities.
- Review budget on a monthly basis
- Review budget quarterly with business manager
- Responsible for proper handling of receipts, bills, petty cash requests, reimbursements to volunteers, etc., for all programs and associated activates
Miscellaneous
- Attend staff meetings, staff workshops/development, Worship Commission Meetings.
- Provide support to co-workers and various parish projects as needed.
- Identify and take training that will enhance job required skills
- Field emergency phone calls during off hours
Qualifications:
1. Post Secondary Degree and/or five to seven years related experience in a business, non-profit, or parish environment.
2. Training and experience with Microsoft Office Suite and ParishSoft.
3. Able to work on weekends.
4. Training seminars for annulment and marriage preparation through the AOD
5. Respects and understands Catholic tradition and practices.
6. Familiar with Church policy and procedures related to Roman Catholic Sacraments.
7. Strong organizational, relational, and problem-solving skills.
8. Excellent listening, verbal, and written communications skills.
9. Able to work effectively with all levels of employees and volunteers.
10. Able to work with short deadlines.
11. Able to manage priorities and workflow.
