The Regional Office Secretary/Receptionist works under the direct supervision of the agency’s Office Director. This position provides general secretarial support to the Agency including typing, filing, preparing incoming and outgoing mail, answering the telephone, performing Information and Assistance duties, coordinating program activities with all other divisions of the Agency, assist with purchasing supplies, ordering and dissemination of printed material, assist the data processing department, and other duties as assigned.
DUTIES AND RESPONSIBILITIES:
- Performs Information and Assistance duties, to include:
- Assessing the needs of the individual calling for assistance
- Links the caller to specific services
- Provides follow-up to ensure that the needed services were received
- Gives accurate and up-to-date information to seniors and adults with disabilities and their families about programs and services in their community
- Insures proper records are maintained
- Logs and prepares daily mail and distributes mail to the proper employees
- Maintains current telephone and email lists
- Assists with Accounts Payable check distribution
- Assists with other department projects
- Completes typing and filing
- Assists in ordering supplies
- Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing

Hourly; $12.25 per hour

Basic Qualifications
Must have a working knowledge of all types of business machines including, but not limited to adding machines, computers and typewriters. Must possess the ability to recognize the need for change coupled with the skill to adapt present systems to most effective techniques available. Must have the ability to effectively communicate with the officials of public agencies and program participants. Must have the ability to communicate and deal tactfully with the public. Must have the ability to follow oral and written instructions.
Associate degree in business or a high school diploma with 4 years experience in a related field.
