Job Overview:
We are seeking a detail-oriented Program Administrative Office Support to join our team. The ideal candidate will provide administrative support and ensure efficient operation of the Apprecticeship office and program.

Responsibilities:
1. Office Organization (maintain office filing and storage systems)

2. Sort and distribute, or reply to all communications *(Including all correspondence; i.e. Emails, Mail, faxes, etc.)

3. Complete Monthly MWPR’s and make updates to records ensuring accuracy and validity of information given from the apprentice.

4. Prepare monthly and quarterly billing sheet to forward to Bookkeeper.

5. Mail completed letters for apprentices, applicants or training agents; including monthly billing etc. (Stuffing and Metering) Prepare and mail meeting notices to both committee members and training agents.

6. Maintain Collections List to be sure training agents are charged the appropriate entry fee and paid their collection balance in full.

7. Generate citations and informing apprentices as required for past due training agents for Administrator’s review.

8. Communication with Bookkeeper and Administrator in regards to past due accounts and status of training agents.

9. Perform receptionist duties as needed.

a. Answer phones and complete requested Actions.

b. Fax, scan and copy documents

c. Keep office area clean and tidy!

10. Greet Apprentices, The public and Training Agents (etc) as they come into the office.

11. Retrieve documents and files when requested from Bookkeeper, Trust, Committee, Training agents and apprentices.

12. Attendance at monthly meetings, Preparation of meeting agenda, Taking and distribution of minutes.

13. Dispatch apprentices.

14. Make arrangements for committee meetings.

15. Cross train and assist on Administrator Duties

Requirements:

  • Apprenticeship Experience preferred
  • Associates in business administration or related field
  • Prior Administrative experience of 2 years plus
  • Excellent skills with Microsoft Office
  • Record Management skills

Pay: $22.00 - $30.00 per hour
