We are seeking an experienced Executive Assistant to work alongside a three Executives' and become an important part of a fast growing team. This person will be expected to perform a variety of tasks, help keep long term projects on track, and handle more urgent requirements. An ideal candidate is responsive, thoughtful, self-directed, positive, and seeking a challenging role.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, creating board reports, and preparing communications on the executives’ behalf.
- Arrange travel and accommodations on the executives’ behalf.
- Maintaining comprehensive and accurate records.
- Performing minor accounting duties for purposes of completing expense documentation and financially related tasks.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Managing the executives' calendars, including making appointments and prioritizing the most sensitive matters.
Requirements:
- Tertiary education and experience in a business administration, marketing, or management role
- Capable of working in a changing environment and under pressure to ensure the expected results of their role are achieved
- Good oral and written communication skills; expresses facts and ideas in a clear, concise, convincing, and organized manner
- Accuracy and attention to detail is required
- Team oriented and works well with others for the betterment of the organization
- Gathers key information essential to assisting the Executives
- Proficient use of Microsoft Word, Excel, PowerPoint, and Adobe Acrobat
- Works collaboratively with key stakeholders to streamline operations for maximum efficiency, automation, and effectiveness where appropriate
- Actively listens to ensure understanding
- Explains issues and interprets data in understandable terms and adapted communication to target audience
