What are the responsibilities and job description for the ADMINISTRATIVE ASSISTANT 1 position at Arizona Department of Revenue?
The Arizona Department of Revenue is seeking an Administrative Assistant I. In this role, you will be responsible for tasks that directly support Individual Income Audit. These functions include examining and researching correspondence, creating and maintaining audit files, and updating the databases and tax systems with detailed notes of actions taken.
Essential duties and responsibilities include but are not limited to:
-Create and maintain audit files, including labeling folders, inserting the audit assessments/letters into the file, and organizing files in cabinets by assessment date. Pull and track requested audit files, add correspondence to the file, and make notes in the audit and tax system.
-Mail assessments received weekly from the letter job. These assessments are hand stuffed into an envelope with a returned envelope, then to be mailed out to the taxpayer.
-Purge audit files, including pulling files and verifying if they are paid/closed, pulling all federal data out of the files, logging the federal data into the tracking database, shredding the federal data, and boxing audit files and sending to off-site storage vendor.
-Examine and research correspondence including entering Power of Attorney's, researching and updating addresses, reissuing audits that were returned, processing protests and delivering mail received to the auditor.
Knowledge of:
-Basic computer systems, Microsoft office products, Google Suite products, internal policy and procedure, and knowledge of different tax returns and forms.
Skilled in:
-Verbal and written communication, 10 key, interpersonal relations as applied in working well with others within a close environment while effectively meeting deadlines.
-Reviewing documents for necessary information.
Ability to:
-Compute and enter figures accurately, multitask and prioritize daily workflow
-Apply analytical skills
-Work in high production area
-Interpret information from correspondence documents
-Learn and apply LEAN concepts, principles and tools to maintain continuous improvement efforts
The ideal candidate for this position will have:
-Six months experience in a mail room or warehouse environment. Learn and apply LEAN concepts, principles and tools used to create and deliver perspectives with fewest resources with continuous problem solving.
The final candidate will be required to abide by the the following pre-employment checks:
