We are looking for an Administration Assistant that will support the Valparaiso, IN Leadership Team and their departments at the site. This support generally includes scheduling and coordinating meetings, editing documents, creating and maintaining filing systems, data entry, site gift procurement (Sympathy flowers, performance awards, etc.), and handling administrative Purchase Requisitions. The role is on-site at the facility
Essential Job Functions:
- Performs administrative duties for Site Leadership (data entry, filing, editing procedures/documents, generating reports, meeting minutes, presentations, updating bulletin boards, updating electronic displays, coordinating employee rewards, etc.)
- Maintains annual administrative blanket purchase orders and enters purchase requisitions for various needs.
- Maintains the site training matrix. Tracks and files training records for the site.
- Supports the EHS and Quality teams by running reports, managing approved contractor files, entering action items, filing paperwork, and scheduling physicals, hearing tests, respirator fit tests, etc.
- Supports the maintenance team by entering/updating/closing work orders in SAP, entering data, running reports, and assisting the storeroom specialist.
- Organize events, meetings, trainings, and celebrations (on and off site), and coordinate meals for various events and shifts.
- Maintains the plant mailboxes and on/offsite file storage locations.
- Orders supplies (PPE, office supplies, posters, coffee, water, rewards, etc)
- Manages gear for personnel including uniforms, safety shoes, prescription eyewear, etc.
- Supports the HR Business Partners in maintaining onsite files
Qualifications & Experience:
- High School, GED education required
- 2-3 years experience in an administrative role, (manufacturing environment preferred)
- Excellent communication and organizational skills
- Skilled in Microsoft (Word, Excel) SAP experience, desirable
