Job Description:
Performs administrative support tasks that are secretarial/clerical in nature for an Executive.
Able to perform high level tasks in Word, Excel and PowerPoint.
Can successfully do complex tasks within databases and e-mail systems may be able to provide instruction to others in doing these sorts of tasks.
Can efficiently access a wide variety of Internet resources.
Knows how to operate the advanced features of phone/voicemail and office equipment.
Manages multiple filing systems, as well as multiple hard copy or electronic calendars.
Comfortably schedules meetings between team members and clients.
Initiates setting up outside events which involve external business partner participation.
Coordinates travel arrangements over the phone or electronically for multiple individuals.
Experienced position that requires a Bachelors or Master’s degree and 8-10 years of experience.
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
Maintaining comprehensive and accurate records.
Performing minor accounting duties.
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
Answering phone calls in a polite and professional manner.
Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
Executive Assistant duties and responsibilities:
Excellent skills with Microsoft Office including Word, Excel, PowerPoint, etc.
Time management and ability to meet deadlines

Strong organizational skills and ability to multitask

Experience in planning and executing special events and activities (dinners, receptions, etc.)
