What are the responsibilities and job description for the Office Manager/Bookkeeper position at Associated Constructors, LLC?

Associated Constructors, LLC is looking for a full time Office Manager. Basic accounting and tax knowledge required. The ideal candidate would be extremely detail oriented and available for training immediately. Hours are 8am-5pm Monday-Friday. Duties would include:

  • Manager Functions
  • Capital additions tracking
  • Depreciation schedule maintenance
  • Account classifications
  • Year End preparation
  • Financial Statement for Business Officers
  • Balance Sheets for Business Officers
  • Accounts Receivable functions
  • Creating Invoices
  • Collecting Payments
  • Collections of past due accounts
  • Accounts Payable Functions
  • Receiving and coding invoices
  • Tracking vendor statements and invoices
  • Generating vendor payments weekly
  • Payroll Functions
  • Oversee and assist HR personnel with entry
  • Certified payroll reporting
  • Employee benefit tracking
  • Project Manager Assistance
  • Creating Purchase Orders
  • Document and contract tracking
  • Subcontractor contracts and payments
  • Tax Filings
  • Sales, Use, & Withholding
  • State Unemployment
  • Federal Unemployment
  • Generate W-2, 1095Cs, 1099s
  • Weekly Payroll tax payments
  • Reconciliations
  • Weekly and monthly bank reconciliations
  • Monthly credit card reconciliations
  • Employee benefits
  • Compliance/Tax Functions
  • IFTA (International Fuel tax Agreement)
  • 2290 (Heavy Highway Use Tax)
  • Fleet insurance and registrations
  • MUSTA-EGLE (Michigan Underground Storage Tank Authority)
  • IRP (International Registration Plan)
  • MCS150 (Federal Motor Carrier Safety Administration)
  • General office functions
  • Answering the phone
  • Filing of paperwork
  • Monitor and restock supplies
  • Other duties as requested
