Associated Fire Protection is looking for an outgoing and highly organized Operations Associate to assist with the daily business and administration of the operations department, working out of the Utah location. Qualified candidates must have customer service skills, computer skills, ability to multi-task, and have excellent organizational and interpersonal skills.


Primary duty is to be regularly engaged, on a daily basis, with assisting in the management of the company’s Utah office, including, but not limited to, assisting with scheduling technicians to complete work orders, providing customer service, and supporting the Utah branch with various administrative tasks.

Job Specific Functions to include but are not limited to:

  • Assist the team with operational issues.
  • Assist with administrative tasks including but not limited to, scheduling meeting, answering phones, making appointments, etc.
  • Process and review work orders to ensure all inspections and repair work orders meet AFP’s quality standards. 
  • Assist with the scheduling of inspection and repair work to ensure they are completed effectively and efficiently
  • Provide excellent customer service and maintain relationships with customers, vendors and staff.
  • Assist with the onboarding tasks for new employees, including but not limited to licensing and certification coordination, scheduling training, and confirming all onboarding tasks related to operations is completed within required timeframe.
  • Serve as customer service primary.
  • Order supplies and material for jobs and office as needed.
  • Assist with maintaining licensing, certifications, and badges for employees including but limited to directly working with customers to procure badges, and maintaining logs, expirations and renewals.
  •  Assist with invoicing and collection calls as needed.
  •  Assist with all operations department functions as needed.

Requirements

Additional Requirements/Experience including but not limited to:

• Excellent Customer Service skills are required.

• Excellent computer skills are required, experience with outlook and excel is required.

• Previous experience in similar role is required. preferably within the construction industry.

• Superb organizational skills.

• Superb interpersonal skills.

• Sufficient knowledge of management techniques and best practices.

• Familiar with industry’s rules and regulations is preferred.

• Ability to make sound decisions. This may include making on-the-spot decisions.

• The position has frequent periods of stress. Ability to work in a fast-aced environment and under pressure as needed.
