The Licensing Compliance Specialist job family is responsible for maintaining compliance with state regulations via proper licensing and appointing for Assurant’s clients. Reviews documentation submitted by our clients to confirm all required information has been completed. Retains knowledge of the licensing and appointment process for agents and business entities across all states. Possesses awareness of departmental workflow including mail distribution, appointment renewal and cancellation processes, and license surrenders. Works projects including discrepancies, client and system audits, data integrity, and underwriting company audit. Applies for licenses and appointments and tracks status. Maintains expert status for assigned states via state research, bulletins, and notifications. This role takes the lead on projects or coordinates efforts for their unit. They have a complete understanding of all states. They also support the DAS and CLR teams with their projects or their workload whenever applicable.
PRIMARY JOB ACCOUNTABILITIES
30% - Analysis, Projects & Working Discrepancies
Thoroughly analyzes assigned work and make appropriate decisions based on knowledge, training and experience.
Identifies potential licensing inconsistencies, and works with senior Compliance Licensing Specialists and other members of the department to conduct research and analysis to determine the scope of the issue.
Works on projects to streamline processes and audit data for underwriting companies and clients.
Works with the CLR team to complete new client initiatives including license and appointment activations to meet business needs.
Works discrepancies uncovered by DAS, management, and/or via workload processing.
40% - State Analysis, Processing & Maintenance
Maintains understanding of licensing and appointing processes (terminations and renewals included) for individuals and business entities of all states.
Utilizes state websites and vendor databases to apply and inquire on license and appointment statuses.
This role is an expert within their assigned states and builds relationships with individuals at the Departments of Insurance. Experts understand the nuanced mechanics of their states licensing and appointing regulations and are called upon to demonstrate that knowledge.
Meets department turnaround times.
Independently research state provided information by contacting the states’ Department of Insurance or utilizing vendors.
Responsible for licenses and appointments of various Assurant sites and segments.
Acts as a liaison for the department between licensed entities and the various state Departments of Insurance (DOI) and Assurant vendors.
Reconciles state and system discrepancies to achieve regulatory compliance, identifies and addresses expense discrepancies from state and vendor invoices, as well as the licensing system.
Orders payments for licensing and appointment expenses when necessary by requesting checks through the licensing system or company application.
Responsible for payment submission to DOIs and monthly reconciliation of credit card statements.
30% - Renewals
Responsible for renewing the 22,000 client licenses in the system annually.
The analyst must work with Assurant employees, adjusters, clients to obtain the necessary information to renew their licenses.
Coordinates supplying support documentation such as background check questionnaire responses and residency requirements to state DOIs.
BASIC QUALIFICATIONS REQUIRED
High School diploma or equivalent
Excellent written and verbal communication skills
Detail oriented with strong facilitation skills
Ability to meet deadlines under pressure
Able to work proactively and independently, with minimal supervision
Ability to work in a team environment
Ability to recognize and focus on critical issues
Flexibility to prioritize, balance, and respond to competing needs within the organization
Ability to learn new systems/processes and retain knowledge
PREFERRED EXPERIENCE
Associates degree or 2 years’ work experience in an insurance environment
2 years of strong PC skills and extensive experience with MS Office 365 Suites
