Primary Accountability:
The Central Stores Clerk is responsible for the stock inventory and entire life cycle of purchase orders and requests for goods and services at designated sites.
Primary Accountability
Description of Primary Responsibilities:
1) Responsible for monitoring and maintaining inventory stock levels in central supply room at assigned site(s).
a) Ensures inventory is organized and accessible to staff at all times.
b) Creates and processes purchase orders for supplies to replenish stock.
c) Rotates stock and checks for expiring items on a regular basis.
d) Responsible for receiving deliveries at designated sites and forwarding goods to appropriate departments.
2) Responsible for receiving and processing of purchase orders and requests for goods and services from designated departments and site(s).
a) Assists staff in the preparation and coding of purchase orders and with reports or research as requested.
b) Reviews requests and orders for accuracy and appropriate approvals.
c) Compiles receiving paperwork and matches to purchase order or request and ensures timely processing of paperwork.
d) Coordinates any back orders, returns, or product replacements needed.
3) Responsible for acquiring best value and/or price for all goods and services.
a) Maintains and updates formularies and standard order lists.
b) Acquires bids for goods and services for comparison and evaluation.
c) Establishes and maintains relationship with current and new vendors.
d) Researches new and alternative products, product availability, and comparable product information.
4) Coordinates the repairs and preventative maintenance to medical equipment and copiers at assigned site(s).
a) Evaluates equipment malfunction for appropriate referral to repair technicians and performs minimal maintenance.
b) Responsible for assisting in acquiring loaner or temporary replacements for equipment needed to deliver quality patient care (when necessary).
c) Stores back up equipment for emergency use as per policy.
5) Responsible for maintaining the current department filing system.
a) Maintains purchasing history including new, open, and completed requests.
b) Processes records for biohazardous waste removal/disposal for designated sites.
c) Responsible for processing new and updated product Safety Data Sheets (SDS).
6) Performs other duties as assigned.

Professional & Technical Knowledge:
1) Must possess a high school diploma or General Educational Development (GED) certificate.
2) Job duties require specific knowledge and training in inventory processes and practices, typically learned on the job or which may include a series of training sessions that would comprise a few weeks if done consecutively.
Technical Skills:
1) Ability to prepare basic correspondence and simple reports in Microsoft Word.
2) Ability to use Microsoft Excel to create tables and simple displays of information.
3) Ability to create basic presentations in Microsoft PowerPoint.
Licenses & Certifications: None required.
Communications Skills:
1) Job duties require the employee to effectively communicate routine or non-technical information to co-workers and others.
2) Effectively communicates written information (including electronic correspondence) and verbal presentation.
