POSITION SUMMARY
The Security & Document Specialist performs moderate to complex records maintenance and specialized office support, clerical, and technical work, and assists with the daily operations in the Office of Safety & Security. The Specialist provides excellent customer service and communications skills and has the ability to work effectively on a team. Weekend and evening shifts are required periodically. This position reports to the Executive Director of Safety & Security or designee.

MINIMUM REQUIREMENTS
EDUCATION:

  • High School Diploma or GED required.
  • Bachelor’s degree preferred.

CERTIFICATION/LICENSE:

  • Valid driver's license and access to transportation.
  • Must obtain Georgia Crime Information Certification within 6 months of employment.

WORK EXPERIENCE:

  • 3 years equivalent work experience in a fast-paced customer service or administrative environment preferred.

KNOWLEDGE, SKILLS & ABILITIES

  • Excellent written, oral, and interpersonal communication skills.
  • Maintaining accurate records and filing systems; performing data entry and conducting records / data research.
  • Customer service oriented; organized; mental agility that results in well thought out, timely, and effective decision making.
  • Ability to use correct grammar, spelling, and English language usage.
  • Teamwork, flexibility, sound judgment, and analytical skills.
  • Proficient Microsoft Office Suite skills.
  • Pertinent federal, state, and local laws, codes, and regulations and department rules, policies, and procedures.
  • Knowledge of record keeping practices including methods and techniques used to create and maintain various filing systems; laws, rules, regulations governing records management activities, research records, and records retention schedules.
  • Understands the organization, operation, and services of Atlanta Public Schools (APS), the Police Department, and of outside agencies as necessary to assume assigned responsibilities.

ESSENTIAL DUTIES

  • Completes fingerprinting and badge issuance processing for all APS employees and Tier 3 volunteers.
  • Composes, prepares, and edits correspondence, reports, and other documents.
  • Troubleshoots and problem solves badge access inquiries.
  • Audits and reviews data for accuracy.
  • Files fingerprint reports in a secure location in compliance with GCIC standards.
  • Completes data entry in in appropriate systems as it relates to Fingerprint tracking and issuance of badges.
  • Schedules and completes employee 5 year fingerprint renewals; determines schedules for daily practices/services.
  • Operates and monitors a variety of biometric systems, including AFIS, and Live Scan and its components.
  • Issues replacement badges, changes access for badges, and terminates badges.
  • Communicates and forwards relevent information to the OSS Leadership for questionable background check reports requiring review.
  • Determines schedules for records and documents to be purged, archived, and/or destroyed.
  • Composes, verifies, and edits correspondence, reports, and other documents, such as responses to information requests, letters, memos, production, and year-end reports.
  • Answers incoming telephone calls, greet and assists visitors, provides information on agency programs and services, explains departmental policies and procedures, performs searches for data and records.
  • Compiles and tracks supporting documentation, including police reports, citations, warrants, protective order, and subpoenas.
  • Required to have prompt, regular attendance in-person and be available to work on-site, in-person during regular business hours and as needed.
  • Performs other duties as assigned by an appropriate administrator or their representative.

Mental Requirements: read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records.
