Finance Accounts Payable Specialist

General Summary

We are seeking an Accounts Payable Specialist to join our team!  The Accounts Payable Specialist’s primary focus is to ensure the following is achieved daily: prompt payments, accurate data/invoice matching, thorough reconciliations, and professional communication with vendors & suppliers.

Essential Duties and Responsibilities

• Post business transactions, process invoices, ensure the accuracy of data for use in maintaining accounts payable records
• Obtain proper information and/or data regarding invoice payments and maintain copies of invoices per Accounts Payable policy and procedure
• Flag and clarify any unusual or questionable invoice items and resolve discrepancies
• Practice effective monitoring to make sure payments are processed to vendors in a timely manner
• Generate payments using multiple payment methods including check printing and EFT
• Investigate, solve and follow-up with vendor inquires and or disputes 
• Coordinate closely with the Accounting Manager in preparation of financial statements for month end and year end closing procedures
• Provide internal and external support 
• Assist with Ad Hoc projects assigned
• Local travel may be required

Qualifications

• Accounting certificate preferred but can substitute with experience
• 2 years’ experience assisting busy executives
• Ability to maintain confidentiality
• Detail oriented and organized
• Exceptional interpersonal skills
• Able to maintain a strong sense of urgency
• Able to adapt in a fast paced environment
• Eager to create and streamline processes
• Intermediate Microsoft Application proficiency (Outlook, Excel, Word, ETC…)
