Job Summary
Serve as the Executive Assistant to the Dean of the College of Arts and Sciences.
Responsibilities
- Assist dean, assistant dean and associate dean with reports, correspondence and data collection.
- Provides administrative support to dean, assistant dean and associate dean.
- Purchase office supplies and equipment for dean’s office.
- Reconciles p-card expenditures for deans office.
- Maintains records and filing system for dean’s office.
- Make referrals to offices and provide assistance to students on university policies and procedures.
- Assist in the areas of program planning, budgets, annual reports, and document preparation.
- Manages a database of details of expenditures for dean’s office.
- Manages student assistants: hiring, training, evaluating, and scheduling.
- Assists Department Chairs with hiring, interviewing and training of all Administrative Assistants in College of Arts and Sciences (A&S).
- Coordinates the scheduling and communication of various meetings and events for the college and the Dean of A&S
- Maintains the minutes of all Executive Council and Faculty meetings in the College of A&S
- Other duties as assigned by the Dean, Assistant Dean and/or Associate Dean.
Required Qualifications
- The successful candidate will have a minimum of an earned BS.
- One year of related experience or a combination of education and experience.
- Knowledge of Microsoft Office 365 Suite and Banner System.
- Effective organizational and time management skills.
- Strong teamwork and multitasking skills.
- Ability to work independently with some management oversight and under firm deadlines.
- Ability to prioritize work assignments and work under general supervision.
- Ability to interact effectively with internal customers and external agencies
- Ability to communicate effectively in English, both orally and in writing.
- Final candidate will undergo an employment, credit and criminal background investigation
