Job Posting Title: Assistant, Events and Services Job Description Summary: Responsible for providing assistance to the Student Experience & Outcomes (SE&O) team. Assist with service and/or event offerings by carrying out tasks as needed for smooth delivery of services, high engagement, and efficient and successful event execution. Includes aspects of recruitment, assessing eligibility for participation, preparation, delivery, and follow-up activities. The SE&O department encompasses services for students associated with career, employer relations and job development, transfer, sports and athletics, career counseling, transformation coaching, student life, leadership development, digital fluency, and student government. Job Description: Description of Duties and Tasks Essential duties and responsibilities include the following. Other duties may be assigned. Provide support for Student Experience & Outcomes department’s in-person, hybrid, or virtual events by helping make arrangements for food, facility reservations, security, special equipment, event set up and clean up, parking, technical support, staffing schedules, and other similar activities as needed. Respond to inquiries from students, departments, or the general public regarding Student Experience & Outcomes (SE&O) events & services. Respond timely to calls and emails, provide event coordination support including online and virtual recruiting, and send communications to promote participation. Respond to inquiries from students, departments, or the general public regarding Student Experience & Outcomes (SE&O) services and events. Under the guidance of the event leader, may provide support by reviewing, processing, recommending, creating and/or approving vendors, employers, universities, student job postings, attendees, media, flyers, etc. Perform various data entry and clerical duties in order to maintain accurate records. . Support department staff to maintain, update, and expand databases as needed.. Support recruiting and follow-up efforts in-person and via online recruiting systems and survey methods. Provide in-person on-campus tabling support and/or virtual support during online events.Oversee student event check-in, answer phones, order supplies, support use of equipment, maintaining files, process mail, duplication, compile information packets, create forms, spreadsheets or promotional materials, and other projects as needed to support daily Career Services Employer Relations operations. Maintain calendars, bulletin boards, brochure racks, electronic signage, and other information areas with accurate and up-to-date information. Assist in a variety of virtual and in-person programming inclusive of job fairs, transfer fairs, sports events, networking events, Welcome Week, Riverbat Bashes, etc. Assists with processing on-campus visit requests from key stakeholders such as employers and universities. Ensure announcements for events, jobs postings, and other activities or opportunities for students are up-to-date and communicated through all appropriate channels. May serve as an active member of committees or work groups. Knowledge Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed. Technology Skills Demonstrated proficiency using standard office software applications, SE&O Services technologies, virtual meeting and presentation tools. Use a variety of spreadsheet, word processing, database, and presentation software. May also use social media, work with Canva, and update web pages. Required Work Experience Two years related work experience. Required Education High school diploma or educational equivalent. Other Preferred Qualifications Familiarity with serving diverse populations. Familiarity with issues related to equity and inclusion. Bilingual in English and languages common to the ACC student /community population to which services are provided. Reliable transportation as needed for local campus/regional/district area travel Physical Requirements Work is performed in a standard office environment. Subject to standing, walking, sitting, bending, reaching, pushing, and pulling. Occasional lifting of objects up to 50 pounds. Safety Work safely and follow safety rules.
