Description of Position:
Responsible for the administration of the company’s leases including reviewing lease contracts, validating rental obligations, processing payments, performing lease expense and income audits, tracking lease renewal options and critical dates, confirming [lease] responsibility for repairs and maintenance, managing information in the lease accounting system, assisting in the preparation of financial statement disclosures, and document storage in the lease accounting system. The position will work with stores, regions, and various corporate departments including Corporate Real Estate Services (CRES), Legal, Tax, Accounts Payable, Business Operations Support (BOS) and Corporate Development. Additionally, the position will also assist in the management of excess properties annual budget and forecast.
Organizational Relationships:
Interacts directly with various corporate, regional, and store personnel regarding rental changes, review of annual store rent budget, and various accounting matters.
Job Responsibilities:
- Manage AutoNation’s equipment and real estate portfolio of leased and owned properties.
- Conduct ongoing status meetings with CRES and BOS teams for real estate and equipment leases.
- Abstract lease agreements as well as update and maintain all lease information and data, such as critical dates, options, rights, clauses, payables, maintenance and repair obligations, notification obligations, etc.
- Review and process payments for all lease-related expenses; revise and dispute as necessary.
- Prepare and update variable lease expense changes based on adjustments in the consumer price index (CPI) and/ or lease agreements.
- Review and validate lease payments, rental income, and operating expense reconciliations.
- Manage tenant accounts by issuing invoices or notices, collecting rent payments, and processing late fees.
- Maintain, secure, and track insurance certificate compliance for all real estate leases.
- Initiate and manage new or revised vendor set-up, landlord contact information, legal notices, etc.
- Prepare annual store rent budgets.
- Update lease accounting system (currently AMTdirect) for new, amended, or modified real estate and equipment leases.
- Maintain updated process documentation for internal controls around leases.
- Keep necessary business partners informed on all matters which may require their action or input.
- Prepare and manage budgets and forecast for all excess properties.
- Manage and process invoice charges for all current/future excess properties.
- Partner with the construction team for updates on important milestone dates related to the completion of work to trigger rent commencement.
- Ad hoc analyses and projects as requested by management.
Qualifications:
Education/Experience Required:
- Bachelor’s Degree in Business or related field of study; and any equivalent relevant background skills and experience or a minimum of High School diploma and 3 years of experience in contract or lease administration
Experience Preferred:
- Experience in lease accounting software such as AMTdirect or other similar software is preferred.
Skills:
- Advanced Excel skills required, including the ability to use V-lookups and pivot tables.
- Experienced in the use of accounting software. Experience in PeopleSoft is preferred.
- Ability to work independently, take ownership of all assigned tasks, and maintain a consistent level of accuracy.
- Strong attention to detail, demonstrated integrity and professionalism.
- Excellent communication, problem-solving and follow-up skills.
- Proven ability to perform under deadlines and adjust plans to meet changing needs and requirements.
- Must have strong ability to interpret complex lease language, related real estate documentation and have general property accounting knowledge in a fast-paced environment.
