What are the responsibilities and job description for the Export Shipping Coordinator position at Axalta?
The Export Warehouse Shipping Coordinator will manage and coordinate the export inventory warehouse and shipping process. They will provide backup to the Mt Clemens warehouse for exports which includes ownership of the entire export shipping process. This starts from when orders are created until receipt at destination. The coordinator is responsible for leading and participating in any error resolution, inventory management, communication, and continuous improvement project work that involves export shipping.
The coordinator will manage inbound/outbound shipments received from our global suppliers, offices and agencies and assist to package/containerize to ship globally. The coordinator will schedule and order issuance of all outbound export operational activities for assigned customers, such as pier or rail pickups/shipments, loaded storage, heating instructions, plant deliveries, depot receiving and cleaning instructions when required.
The Import Order tracker is responsible for executing import business processes ensuring customer orders/returns are received and processed in a timely manner with first pass data integrity. The Import tracker is responsible for tracking and receipt of documentation requirements for shipments originating in foreign land to the United States. They must ensure that import documents are processed daily according to the shipments and reports available in SAP.
The import tracker is to provide support to the entire supply chain and is key as the interface between the customer and the manufacturing site.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Export Coordinator
Support Export Coordinator duties according to the duties and responsibilities listed on the Export Coordinator position description. (See Export Coordinator position description)
Import Tracker
- Work with different operational areas to obtain and execute all import documentation.
- Maintain Customer Master Files (space requests, logs, msds, sds, etc) to serve as a guide when managing import orders.
- Retain import records in accordance with government regulations.
- Assist in developing and maintaining policies, procedures, and instruction manuals to assure compliance with import laws and regulations as well as administrative practices.
- Handle customer complaints working with the plant, QA, and sales team for swift resolution.
- Importer is responsible to have goods check in system as shipments arrive against paperwork to ensure all goods ordered are accounted for.
- Requires establishing contacts and relationships with brokers and freight forwarder to ensure efficient transfer of goods through the legal process.
- Manage deadlines and times difficult situations, therefore an element of negotiation is required in order to be able to meet timescales.
Training and Communication:
Must be DOT, IATA and IMDG regulations certified- SAP experience preferred: WM, Shipping, Inventory
- Participate in weekly export calls with NA Import /Export Manager.
- Review and address all open issues from previous week’s shipments.
- Develop and present meeting information pertaining to Import/Export Shipments when requested.
- Communicate continuous improvement activities when required
- Support the development of training materials, procedures and training manuals that pertain to the overall import process, including taking on ownership Import tracking
- Manage communication flow to the Import CSR, trucking companies, brokers to ensure processes, issues, distributions and/or dispatch and all required documentation to all applicable parties are completed in a time frame consistent with service needs of the company
- Coordinate and schedule pick-up of Full/Half/LCL loads with trucking companies
- Assist in the creation of and development of policies, procedures, and instruction to assure compliance with export laws and regulations as well as administrative practices.
- Work with the NA International team, operational areas and government agencies to obtain and execute all import/Export documentation such as: BOL, Affidavits, Certificates of Origin, etc.

- Operate in independent fashion, be self-managed and contribute to a sound team environment, using his or her own experience, good judgment and maintaining confidentiality.
Minimum Requirements:
- The ideal candidate will have at least two (2) years of customer service experience.
- Ability to understand all sources of world demand and assist business segments in setting up Import/Export customers
- Candidate must have a limited knowledge of Import/Export glossary preferred
- Candidate must be proficient in Microsoft Office: Excel, PowerPoint, and Word.
