THE OPPORTUNITY

The Payroll Human Resource Assistant position will focus on concept-specific bookkeeping, including payroll, verifying reports, and onboarding employees. Office-admin duties will include miscellaneous duties as applicable. This position will be part-time [5 hours per week] and will focus on a variety of payroll and human resource-related tasks. more than just a data entry position. Additional concepts may be included in the scope of work as they arise.

 

RESPONSIBILITIES

  • Assistant to the Director of Human Resources and Accounting Manager.
  • Review and verify Daily Worksheets to complete the tip sheets.
  • Pull, print, cross reference, and audit that all information is correct on the Daily Worksheets.
  • Review time entries, clock-ins, and positions are all correct for all concepts.
  • Ensure Tips are allocated correctly.
  • Verify that Daily Worksheets match what is in Toast.
  • Communicate with concept Managers to verify any discrepancies/unknowns.
  • For USVI companies, verify Daily Worksheet and complete Tip Sheet.
  • For US Companies, verify that the Tip Sheet is correct.
  • At the end of each period, take the information from Tip Sheets for each concept and into the information into the spreadsheet that tracks data for form AD-27.
  • Responsible for pulling weekly Labor Summary reports and saving them into Dropbox.
  • Handle administrative & accounting duties; including day-to-day office tasks, communications, and accounting activities.
  • Ensure accurate and consistent financial reporting [daily, weekly, monthly].
  • Meet regularly with Director of Human Resources Accounting Manager.
  • Responsible for sending all New Hire Paperwork for hourly employees for all concepts through HR software, Bamboo.
  • Responsible for delegating out Onboarding tasks via Bamboo to new employees, managers, HR, and accounting.
  • Verifying all New Hire Paperwork is complete and communicating with new employees and concept managers.
  • Input New Hire information into payroll software, ADP.
  • Complete special accounting-based HR related projects as assigned or necessary for the success of the company.
  • Constantly evolving & contributing to the Ballast Hospitality Team by refining processes and bringing valuable ideas to the table for improved company & concept growth.
  • Complete job responsibilities and performance objectives in a timely and efficient manner in accordance with Ballast Hospitality’s standards. Perform other duties and responsibilities as required or requested.
  • Keep Ballast Hospitality promptly and fully informed of all issues and take prompt direct action where necessary.


QUALIFICATIONS

  • Honesty, integrity, self-discipline, initiative, leadership ability, detail-oriented, and outgoing nature.
  • Ability to prioritize while handling multiple projects.
  • Exceptional communication skills, both spoken and typed.
  • Strong analytical skills; ability to define problems, collect data, establish facts, draw valid conclusions and make sound recommendations.
  • Skilled in mathematics, time management, and typing.
  • Must work well with others, and be receptive to direction from peers & supervisors.
  • Ability to manage multiple accounts, make recommendations on improved workflow, and audit information for accuracy.
  • Ability to work [5] hours a week. Hours to be set & determined by management and maintained on a consistent schedule on a weekly basis.
  • Familiar with Microsoft Excel & Microsoft Word. Able to create, manage & manipulate spreadsheets.
  • Able to create & manipulate word documents, as needed.
  • Ability to manage multiple business email accounts and calendars.
