JOB OBJECTIVE: Serves as the initial contact for callers, in person, by telephone and enables caller to reach the desired person or persons and/or secure the information he/she needs. Serves as secretary to staff in nursing care center and performs a variety of duties for the Director of Nursing and other department directors.
JOB QUALIFICATIONS/DUTIES:

Job Responsibilities and Duties:
- Greets incoming guests, families, salespersons, etc., and directs them to appropriate person or location.
- Answers telephones located at this station, responds to inquiries and refers or transfers calls to other stations. Answers pages and calls for Administrator, Director of Nursing and Social Worker (possibly others).
- Communicate to the physicians, the list of residents to be seen by Geriatric Physicians.
- Prepare at the first of each month the resident accident report and up-date charts on accidents.
- Assists persons in making applications for job position, and assists Director of Nursing in scheduling of interviews with applicant.
- Establishes a nursing department personnel file on new employees, and adds appropriate documents to file as needed, such as in-service attendance reports, absentee forms, certification notices, etc.
- Maintain a notebook on each unit in which the periodic Regulatory Focus Bulletin from Division of Facility Services are placed.
- Assist nurses, when requested, in contacting staff to work on unscheduled shift for an absent employee.
- Prepares, post, and sends announcements via One Call that inform staff of event, meetings, and other happenings.
- Monitors and updates all forms used by the Unit, and provides adequate supply to all departments and units.
- Distributes to individuals and departments the updated resident roster prepared periodically by administration.
- Assists Administrative Assistant in securing needed information on health care unit employees.
- Maintains orientation schedule on new employees.
- Reviews nursing unit personnel files on employees leaving employment, and assists Director of Nursing in completing checklist on former employees.
- Maintains updated notebook that contains verified documentation of RN, LPN, and CNA attendance at in-service meetings in coordination with Administrative Assistant.
- Prepares correspondence and other documents for Administrator and Director of Nursing.
- Assists Director of Nursing through scheduling of appointments and preparing for in-service and other meetings.
- Send monthly oxygen and accucheck forms (as well as any other designated items) to Corporate Office for billing.
- Assists in data entry and auditing for end of month billing.
- Prepare and maintain and time studies needed.
- Handle death notices according to the appropriate protocol.
- Provide clerical support for Administrator and Director of Nursing.
- Maintain and update payroll spreadsheet (and other forms) for Director of Nursing at the end of each pay period.
- Maintain transportation logs and forward to Corporate Office monthly.
- Coordinate all job openings and postings with the Director of Recruitment for the Director of Nursing.
- Maintain a filing system for the information processed by the Administrator and Director of Nursing on a continuous basis.
- Works tactfully and cooperatively with resident, families, visitors, and other staff throughout the facility.
- Abides by department policies, practices, and standards of care.
- Properly uses and cares for equipment and supplies.
- Follows all safety, security, infection control, universal precautions, and hazardous materials policies and procedures. Performs all tasks to assure resident personal safety and the protection of co-workers and facility property.
- Knows and ensures that all resident rights are maintained at all times. Reports any violations or suspected deviations according to facility property.
- Maintains confidentiality of all resident care information.
- Changes work schedule or works overtime on occasion to meet the needs of the facility.
- Comes to work as scheduled and consistently demonstrates dependability and punctuality.
- Assists other staff members as needed within the limits of training and certification.
- Assumes responsibility and accountability for information contained in the Employee Handbook.
- Attend staff meetings, in-service classes, and committee meetings as assigned.
- Performs other related duties as directed by Administrator or Director of Nursing.
Physical/Mental Requirements:
- Walking and standing required, up to 50% of workday.
- Constantly lifting and carrying objects weighing less than 10 pounds, and occasionally lifting and carrying objects from 10 to 25 pounds.
- Occasionally pushing and pulling objects weighing from 100 to 250 pounds, usually resident in a wheelchair or geri-chair.

- Frequently required to attend to task/function for 10-20 minutes, and occasionally required to attend to task/function from 20-60 minutes.

- Must be able to frequently remember verbal and written tasks/assignments for a few hours during shift, to those given at the beginning of a period of time extending several days.
- Expected to see distant objects, monitor persons and doors at distances of 35 feet, and occasionally read small print in care plans, documents, etc.
- Constantly expected to receive verbal instructions, answer telephone, and communicate with visitors, residents and employees in situations with some background noise.
Environmental Conditions:
- Works in a climate controlled building with a temperature range from 68 to 80 degrees.
- Occasional exposure to blood, body tissue or fluids. This is rare.
- Exposure to loud or unpleasant noises occasionally.
Equipment Utilized:
Telephone, copier, fax, typewriter, shredder.
Responsibility in an Emergency:
Expected to respond to an emergency situation involving the safety and well-being of residents, other employees, and the physical plant, according to instructions and training provided by the facility. This includes the ability to assist with a possible evacuation of residents.
