MEDICAL INDEXER
Barrow Brain and Spine (BBS), a world class destination for Neurosurgery, is seeking Medical Indexers for their Phoenix office. BBS surgeons support the Neuroscience programs at Barrow Neurological Institute/Dignity Health, the Bob Bove Neurological Institute/HonorHealth and other Arizona partners.
JOB SUMMARY:
Performs a variety of duties to include obtaining medical records from patient care areas to ensure that all records are retrieved daily and that all medical record documentation (paper and electronic) is scanned/indexed into the appropriate medical record within a timely manner.
JOB DUTIES & RESPONSIBILITIES:
Works in various computer programs, Centricity, Docutrak, Image Capture and InDxLogic. Scans and/or indexes reports into the EMR.
Scans hard copy reports received in Image Capture and indexes the reports in Indexing Client or InDxLogic.
Creates PDF files to separate bulk reports received in electronic folders and electronic drives. Indexes the PDF files into appropriate charts.
Moves PDF files from queue to queue as needed.
Verifies the patient chart information entered to ensure entries are correct; removes duplicates and replaces un-reviewed reports with signed reports.
Completes responsibilities for hard copy reports placed in medical records trays in accordance with established guidelines.
Scans and indexes storage charts into EMR as requested.
Maintains an accurate CD/Film log. Researches destinations to ensure correct returns and/or destruction of CDs and/or films.
Responds to medical records related telephone calls.
May be responsible for the timely processing of all internal clinic records into the EMR.
Ensures all work assignments are performed in accordance with company policies and procedures.
Demonstrated knowledge of state and federal laws/regulations and HIPAA regulations.
Maintains open communication with the Director.
Maintains privacy, confidentiality, and security of patient, client, staff, and organizational data.

Maintains effective working relationships with physicians, administration, BBS staff members, other hospital personnel and the public.
Requires flexibility to work occasional evenings or weekends.
Maintains privacy, confidentiality, and security of patient, client, staff, and organizational data.
TYPICAL PHYSICAL DEMANDS:
Prolonged sitting, standing, some bending, stooping and stretching and/or walking.
Eye-hand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, fax machine, telephone, calculator, and other office equipment.
Normal range of hearing and vision to record, prepare, and communicate appropriate reports.
TYPICAL WORKING CONDITIONS:
Work is performed in an office environment, with contact with patients, office staff, physicians, etc.
Overtime as required.
EDUCATION & EXPERIENCE:
High school graduate or GED is required.
Ability to follow oral and written instructions is required.
Must be detail oriented and possess excellent organizational skills.
Demonstrated experience with computers and computer software.
Previous experience in medical records is preferred.
