What are the responsibilities and job description for the Administrative Assistant position at Barter Theatre?
Barter is looking for a highly motivated, detail-oriented Administrative Assistant to join our administrative staff. This individual will be a point of contact for the public and Barter staff as they liaise with various departments including Advancement, Marketing, Finance, Human Resources, and Facilities. They will support the office environment and work closely with the Producing Artistic Director and Managing Director on projects and tasks.
Role and Responsibilities
Administrative Support
- Greet and screen visitors, answer inquiries, and create a welcoming environment
- Screen phone calls, redirect calls, and take messages
- Assist in financial controls including bank deposits
- Schedule appointments, meetings, and reservations as needed
- Assist in setting up and coordinating events and meetings
- Receive deliveries; sort and distribute incoming mail
- Maintain and order office supplies
Human Resources
- Compile and enter new employee information in the HR Information System (HRIS)
- Facilitate new employee onboarding, paperwork and benefits enrollment
- Complete routine transactions within the HRIS
- Collect and audit timesheets
- Organize and maintain HR files and databases in a confidential manner
Company Management
- Create plans for employees and artists staying at Barter housing
- Assign vehicles and ensure insurance requirements are met
- Coordinate travel arrangements including transportation and accommodations
Education and Qualification Requirements
- High school diploma or general education degree (GED) required
- 1 years of clerical or office experience
- Proficient computer skills, including G Suite and Microsoft Office
- Strong verbal and written communication skills
- Comfortable with routinely shifting demands
- High degree of attention to detail
- Data entry experience
- Working knowledge of general office equipment
- Must be 18 years of age or older.
- Must possess a valid driver’s license.
