The Administrative Assistant will be responsible for managing communications and providing general administrative support to the Idaho and Texas offices. This role will also provide backup support to the Corporate Headquarters Administrative Assistant. We want to grow you! This position could grow, in role and responsibility, to match the drive of the applicant, in such areas as CAD drafting, bill of material tracking, and assisting management with budget monitoring.
This position will be located in our Boise office and reports directly to Manager, Engineering R&D and Sr Manager, Global Business Support.
Job Functions
- Greet visitors and direct guests in the Idaho office(s)
- Assist management in tracking office and project spend.
- Assist team with purchase orders.
- Manage office communications including phone calls and specific email boxes for Idaho and Texas
- Provide phone backup to Corporate Headquarters Administrative Assistant
- Maintain necessary level of office supplies, break room supplies, snacks
- Process outgoing packages for those requiring assistance
- Process incoming packages
- Process incoming US Mail – sort, scan to addressees
- Coordinate ordering meal(s) as needed for onsite meetings
- Manage all meeting room space in Idaho, ensure ready for incoming guests.
- Process monthly credit card billings for specific Managers
- Enter new employee Worker cards for Bastian Solutions Teams including editing with changes as received
- Assist Bastian Solutions Team with expense report entry for Canada and Mexico team members.
- Assist Project Accounting Team as backup for managing AP Invoice box
- Coordinate bulk trash removal as needed
- Point of contact for building issues, cleaning crew(s).
- Assist in planning and executing off-site meeting(s) including events such as summer picnic, Christmas party, Volunteer Day
- Manage invoice renewals and service requests for printers, plotters, postage meters
- Perform additional assignments as directed
