JOB SUMMARY:
The Payroll Specialist is responsible for processing timely & accurate payrolls and team member transactions. Responding to team member and manager requests for information and reports from the HRIS system as needed. Provide assistance with payroll questions and projects as assigned.
PRINCIPAL ACCOUNTABILITIES:
Payroll 70%
- Responsible for accurately processing all payrolls and any special or bonus payrolls, including all the steps necessary to update the payroll files in preparation for wage payments. Other processing duties include error detection, adjustments, off cycle checks, pay cycle balancing, accruals for paid time off, and pay card/direct deposit administration.
- Pre-processing and post-processing administration such as the collection, validation and auditing of time reporting and employee information.
- Receive the timekeeping system reports and verify hours on report reflect applicable pay period hours and tips for all corporate-owned restaurants.
- Special payments, deductions, hourly pay rates processing (i.e., manual checks, voids, etc.) and special pay such as taxable fringe and/or other special circumstances. Track manual payroll checks. Accurately apply these amounts to the respective restaurants' labor account.
- Ensure work activities comply with all local, state, and federal laws and regulations regarding transactions and filings.
- Review applicable payroll reports pre/during/post each processed payroll for accurate data and payments. Research and resolve any issues or discrepancies found in the audits. Provide a report of findings as necessary.
- Record, process, and validate vacation and PTO requests/balances to comply with time off policies.
- Process documentation; assist with creating and maintaining all process documentation for the payroll system and processes, ensuring it is an accurate reflection of the workflow activities to meet internal controls and Sarbanes-Oxley requirements.
- Provide custom report writing support as requested, ensuring reports are issued with the guidelines of data security at all times
Customer Service 25%
- Respond timely to general payroll related questions, inquiries, and written verifications for employment, benefits, insurance, etc. made by state agencies and other companies.
- Communication: keep manager or other appropriate management apprised of progress on open issues.
Projects: participates in special projects 5%
QUALIFICATIONS:
Education:
- 2 years post-secondary education in finance or business required; 4-year degree preferred. Work experience may be substituted for part of the educational requirement as appropriate.
- Payroll certification (CPP) a plus.
Experience:
- 5 years payroll processing experience required.
- Comprehensive knowledge of payroll practices, procedures, and functions within a multi-unit, multi-state organization required. Hospitality or retail experience preferred.
Skills/Competencies:
- Must have excellent computer skills Microsoft Office including Excel, Access and Visio.
- Demonstrated competency in payroll processing programs --ADP WorkForce Now, UltiPro, Kronos, Micros preferred.
- Well-developed verbal and written communication skills a must.
- Must have the ability to communicate effectively and demonstrate courtesy and tact when dealing with Employees, Managers or Outside Sources.
- Demonstrated ability to manage conflict in a productive manner.
- Customer focus is essential, with a high degree of sensitivity for confidentiality, ability to exercise discretion with various Team Member/Outside Source questions and issues.
- A high level of accuracy and attention to detail, good time management for meeting strict deadlines with an organized and methodical approach.
- Ability to monitor information, and manage workload and priorities, while maintaining a high standard of work quality.
