Position : Administrative Assistant
Schedule : Monday Friday, 8 : 00 AM 5 : 00 PM
Job Overview :
We are looking for a highly organized and efficient Administrative Assistant to join our team. The successful candidate will play a crucial role in maintaining smooth office operations, ensuring that all administrative tasks are completed with accuracy and efficiency.
This role requires a professional, customer-service-oriented individual who can manage multiple tasks in a fast-paced environment.
Key Responsibilities :
Answering Phones :
Handle all incoming calls promptly and professionally. Direct calls to the appropriate person or department, and relay messages as necessary.
Forwarding Voicemails :
Monitor voicemail inbox and forward messages to the relevant team members to ensure timely follow-up.
Certificate of Insurance Completion :
Prepare and issue certificates of insurance, ensuring all required information is included and up to date.
Processing Loss Runs :
Assist in gathering, reviewing, and processing loss runs. Work closely with clients and insurance providers to ensure the accuracy and completeness of loss documentation.
Risk, HR, and Payroll Support :
Provide administrative support for risk management, human resources, and payroll departments. Help generate reports, manage data, and keep sensitive information organized and accessible.
Inventory Management :
Track office supply inventory and reorder as needed. Ensure the office is stocked with necessary materials to run efficiently.
Ordering Office Supplies :
Liaise with vendors to order supplies, compare pricing, and manage purchase orders. Ensure orders are placed on time to avoid any disruption to office operations.
Employee Packet Preparation :
Assemble new hire packets, including all necessary forms and documentation. Work closely with HR to ensure all information is up to date.
Updating Client Lists :
Maintain and update client contact information, ensuring the database is accurate and current. Regularly review and clean up client data.
Printing Paychecks :
Responsible for printing and distributing employee paychecks. Ensure payroll accuracy and assist with any paycheck-related inquiries.
Requirements :
Presentable and Professional Appearance :
Maintain a neat and professional demeanor, representing the company in a positive light.
Computer Literacy :
Must be comfortable working with computers and office equipment. Proficiency in Microsoft Office programs (Word, Excel, Outlook) is essential.
Multitasker and Critical Thinker :
Ability to handle multiple tasks simultaneously without compromising attention to detail. Capable of thinking critically and solving problems on the go.
Punctuality :
Dependability and punctuality are a must. The successful candidate should consistently arrive on time and be ready to work.
Team Player Attitude :
Work well with others, offering help and support when needed. A positive, collaborative attitude is essential.
Customer Service Background (Preferred) :
Prior experience in customer service or a client-facing role is highly preferred, as this position requires regular interaction with team members, vendors, and occasionally clients.
