Overview

PURPOSE:

As the Office Administrator, you will be a critical member of the experiential team, reporting to the Sr. Vice President and supporting senior management in day-to-day administrative and office-related tasks. You must exhibit exceptional attention to detail, organizational skills, and an upbeat personality to help drive team culture and engagement in this face-paced environment.

 

ESSENTIAL FUNCTIONS:

  • Manage business and administrative-related tasks for the President & SVP, such as coordinating calendars, preparing agendas, planning meetings, organizing travel, coding credit cards monthly, and other supporting tasks for senior management.
  • Lead planning and coordination of on and off-site team meetings and events, such as team member birthdays, volunteer outings, holidays, and other special occasions.
  • Manage the overall office environment through tasks such as ordering office and kitchen supplies, serving as the primary contact for building security, and scheduling cleaning services.
  • Create and implement processes for better efficiency within the office.
  • Contribute to a team effort by undertaking special projects as requested, including tasks such as background research, assisting with the development of presentation decks/templates for project deliverables, formatting, printing, and compiling training materials, etc.
  • Other duties as assigned by management.

 

EDUCATION AND EXPERIENCE:

  • Prior experience as an office assistant or receptionist preferred
  • High school diploma, GED, or equivalent.
  • Associates degree in office administration or related field preferred but not required.
  • 1 – 2 years’ management experience in an office setting preferred.

 

SKILLS AND REQUIREMENTS:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to prioritize tasks and function well in a high-paced environment.
  • Proficient with Microsoft Office Suite.
  • Can handle confidential information with discretion
  • Enthusiasm, commitment to excellence, self-motivation, and a professional demeanor.

While performing the duties of this job, the employee is required to:

  • Regularly talk, sit, stand, walk, and bend over, repetitive use of hands/arms, repetitive use of legs and grasp.
  • Frequently lift and carry up to 25 lbs. Occasionally lift and carry up to 50 lbs.
