What are the responsibilities and job description for the HIMMGR position at BEACON BEHAVIORAL SUPPORT SERVICES?
QUALIFICATIONS
High School Diploma or equivalent, Business College Degree or Bachelor of Science in Health Information.
Experience in office administration and/or medical records preferred. Proficiency in Microsoft Office.
Previous Healthcare and /or Psychiatric Healthcare experience preferred.
SPECIFIC RESPONSIBILITIES AND DUTIES
- Maintain medical records including but not limited to identification and logging for retrieval, assembling and disassembling of records as appropriate and storage of records.
- Input patient information into EMR (Electronic Medical Record) database from referral source.
- Responsible for maintaining database regarding accurate patient information including, but not limited to, change of diagnoses and changes or additional demographic or identifying information.
- Assists nursing department in maintaining patient admission packet, patient handbook, etc. by adding revised forms.
- Assists nursing department in maintaining patient’s medical record by scanning documents into the patient’s EMR chart.
- Completes comprehensive Discharge Audit of patient’s EMR at seven (7) days post discharge.
- Maintains tracking form for all incomplete medical records, noting the department/staff responsible for deficiency and time frames for notification and completion. Updates tracking form as corrections are made.
- Maintains incomplete medical records in a segregated location from completed medical records, for efficient availability to staff as they report to Medical Records Department to correct deficiencies.
- Initially communicates, verbally in person, audit results and incomplete medical records to hospital staff and physician’s as they make rounds through hospital. Reports medical record audit results in month Committee of the Whole meeting.
- Initiates written notification (form letter) sent from Administration to hospital staff and/or physicians who have identified incomplete medical records, if corrections have not been made by fourteen (14) days post discharge.
- Monitors all incomplete medical records and notifies Administration once medical record becomes “delinquent” at thirty (30) days post patient discharge, per Delinquent Medical Records policy.
- Processes all requests for medical records.
- Arranges quarterly review of medical records department by contract RHIT (Registered Health Information Technician).
ADMINISTRATIVE/HUMAN RESOURCES RESPONSIBILITIES
- Assists managers with the hiring process by coordinating new hire documentation and forwarding to Human Resources while maintaining and adhering to strict confidentiality.
- Assists in maintaining employee education files by uploading current employee education/competencies to the individual file in ADP or forwarding to Human Resources.
- Responsible for ordering facility supplies.
