GENERAL SUMMARY:

Coordinates daily operations of the Anatomic Pathology Technicians and staff supporting clerical/office functions. Assists the Laboratory Director daily and ongoing department projects. Coordinates workflow and scheduling of the staff. Assists the AP pathologists and administrative staff. Enters, monitors and maintains Kronos for designated employees. Does compliance audits and quality monitoring. Manages patient and staff issues. Reports to the Operations Director of assigned department.

Scope of this position will be determined by leadership according to defined leveling criteria.


ESSENTIAL DUTIES:


1. Performs office management duties, including payroll and ordering/inventory of all supplies.

2. Assists with special projects as needed.

3. Oversees and provides support in charge entry, work queues and follow-up where designated.

4. Provides operational support, when applicable with clinical skill validation, within the practice to assist as needed.

5. Assists site leadership with CAP inspection preparations.

6. Efficiently uses time in completing tasks accurately and timely. Mindful of appropriate use of laboratory funds through purchase requests and the observance of wasteful use of supplies.

7. Schedules staff to ensure adequate coverage in all areas and creates an efficient work environment.

a. Responsible for hiring, interviewing, performance appraisals and corrective action, all with Just Culture in mind and working closely with the site Operations Director.

b. Consistently communicating with Operations Director to ensure all issues are dealt with in real time, to best serve our patients and our customers, our fellow staff members, our pathologists, our clinicians and the department.

8. Performs regular/routine duties as workload requires. Includes but not limited to:

a. Slide Request Sendouts/Expert Opinions

b. Reception/Telephones

c. Scheduling Meetings

d. General Office Routine

9. Proactively deals with reporting of issues (Process Improvement/Lean/Quality Assurance/Quality Control/PSQIs, etc.)

10. Maintains competency in all AP Technician responsibilities including:

a. Processing specimens: As appropriate for each lab, this includes hand staining, gram staining (micro set ups), inoculating specimens, aliquot chemicals, reagents and solutions, setting up some cultures, accessioning, receiving, loading tissue processors, processing, pouring over, distributing, storing, disposing of specimens.

b. Assisting in specialized specimen collection processes and bedside testing, such as fine needle aspirations, kidney biopsies, or frozen sections.

c. Specimen retrieval, accession into multiple software systems, specimen labeling, and scanning documents into LIS.

d. File blocks and slides in organized fashion to allow for quick retrieval, including off-site storage and retrieval of blocks and slides.

A. Education / Training:

  • High School Diploma required. Some college preferred.

B. Work Experience:

  • Prior experience working in a healthcare environment preferred.

C. Certification, Licensure, Registration:

  • None required.

D. Other Qualifications:

  • Strong computer skills, excellent communication, interpersonal time management and organizational skills required. Needs to have an ability to lead others. Must exhibit behaviors associated with the Beaumont Standards of Mission, Vision and Values.

WORKING CONDITIONS:


A. Physical Effort:

  • Infrequently performs physical activities requiring ability to push/pull objects up to 20 pounds and occasionally lift objects of up to 30 pounds.
  • Frequently performs simple motor skills such as answering a telephone, frequently perform simple and moderately difficult manipulative skills such as writing and typing.
  • Performs gross body coordination such as walking, filing, retrieving manuals, frequently performing tasks which require eye-hand coordination such as keyboard skills.
  • Frequently performs mobility skills such as walking, standing, sitting and occasionally perform prolonged sitting.

B. Work Environment:

  • Position requires incumbent to be exposed to a variety of substances within the home office environment, corporate facilities and other sites such as electro-magnetic radiations as in VDT’s and occasionally to dust.
