Project Overview :

Bechtel Equipment Operations, based in Sugar Land, TX, provides construction equipment, tools, scaffolding and formwork to Bechtel projects globally and is focused on lowest all in cost for Bechtel projects.

As the designated center excellence for these disciplines BEO also analyses and evaluates innovative accessories and construction methodologies for optimization opportunities and productivity improvements.

Position Summary :

The Administration Assistant is responsible for providing a wide variety of administrative support services across the Scaffold and Formwork (Falsework) Business Lines through research, analysis, and coordination with BEO Operations / Engineering / Subject Matter Experts and project personnel where necessary.

Responsibilities :

Reviews incoming communications for subject matter content and accuracy, routing them to appropriate supervisor’s attention.

Composes routine correspondence in response to requests for department services; answers inquiries from other departments, area offices, or outside entities.

  • Performs tasks involve in the administration of bids and purchase orders
  • Facilitates the efficient operation of department by performing a varied of administrative and team-supporting role tasks.
  • Work with Accounts payable personnel to resolve invoicing discrepancies
  • Updates and maintains information in various databases and inventory management software. (DSC, ToolHound, Aconex, Hi-Vis, PEMS)
  • Understands work priorities and schedules
  • Assists in the development and distribution of Falsework policies, procedures, specifications, alerts, bulletins, and other similar information
  • Assists in cross-training other personnel in professional or discipline-specific skills, techniques, and procedures
  • Composes routine correspondence and co-ordinates department activities
  • Quality checks own work for technical completeness
  • Prepares, edits and publishes meeting minutes
  • Aids in the maintenance of various Falsework Sharepoint Pages
  • Compiles, analyzes, and prepares information, logs and reports relevant to assigned area of responsibility, such as organization planning, charts, graphs, and work load forecasts.
  • Organizes rooms and material for meetings, presentations, and training sessions. May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
  • Maintains files and documentation thoroughly and accurately, in accordance with Bechtel Policies.
  • Coordinate domestic and international travel (air and ground); prepare detailed itineraries; and complete expense reports using Concur for assigned personnel.
  • Performs strong professional administration functions as assigned by supervisor / manager

Qualifications and Skills

Basic Qualification :

Level I

At least two years of Administrative experience

Level II : Three of more years of Administrative experience with at least one year of this experience being in the construction industry is responsible

  • Excellent written and oral communication skills.
  • Must work in a confidential manner to ensure confidentiality of clients
  • Demonstrated knowledge of administrative functions.
  • Knowledge of Bechtel’s organizational structure, functions and procedures.
  • Advanced knowledge of software applications, creating spreadsheets with mathematical functions, and compiling / enhancing presentation reports.
  • Use of PowerBi and creation of requested layouts and dashboards
  • Demonstrated ability to communicate to all levels in conveying clear and concise information at all times.
  • Demonstrated ability to set up and maintain departmental filing systems.
  • Ability to type accurately and apply formatting techniques.
  • Strong organizational / Time Management skills.
  • Proficient in the use of all Microsoft Office programs (Word, PowerPoint, Outlook and Excel, OneDrive)
