Essential Functions:
  • Interact with vendors and employees via phone, in person, and through written communications as it relates to the operations of the depot functions.
  • Open, sort, and distribute mail to appropriate person or department in a timely manner.  Ensure all invoices are sent to the corporate office in a timely manner.
  • Administrative tasks, including billing, reporting, and expense validation.
  • Must co-ordinate vendor visits in and out of the building and escort vendors in the building as needed.
  • Keep up to date with changing OSHA requirements to ensure the Depot stays in compliance with all laws and regulations.
  • Schedule maintenance visits for facility equipment and maintain records.
  • Create and submit inspection reports to the Depot Supervisor.
  • Forecast and order equipment and supply needs, including office equipment and shipping materials.
  • Act as liaison between the Richmond Depot location and the corporate office when necessary.
Required Education, Knowledge, and Experience:
  • Must have a high school diploma or equivalent.
  • Proficient in the use of Microsoft Outlook, Word, PowerPoint, Excel and/or similar software.
  • Experience with managing files and records.
  • Must have experience writing professional correspondence and documents.
Additional Knowledge & Experience that would be nice to have.  If you do not have this experience, we will provide training! 
  • Experience in the use of SAP or similar billing and expense tracking software.
  • Working knowledge of OSHA requirements for safely operating warehouse tools such as forklifts, pallet jacks, and pallet stackers.
  • Experience working with vendor management.
Abilities and Skills:
  • Must have the ability to keep confidential matters confidential.
  • Must have the ability to communicate electronically, verbally over the phone, and face to face with others to convey information effectively.
  • Must have strong active listening skills, giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Must have strong customer skills.
  • Must have strong time management skills., as well as knowing how to prioritize assignments.
  • Excellent attention to detail and organizational skills.
Physical, Mental Requirements, and Work Environment:
  • Must be able to lift 30 pounds (as related to shipping/receiving of packages).
  • Must be able to work in the office daily.
  • Must be able to stay sedentary at a workstation for long periods of time, working at a computer for long periods of time.
  • Must be able to communicate/interact verbally, written and face to face.
  • Fluent in both spoken and written English.
