Job Overview:
We are seeking a detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for overseeing office operations, managing vendor relationships, coordinating schedules, and supporting various administrative tasks.
Sample Responsibilities:
Responsible for day to day office related tasks
Handle incoming calls and emails, respond to customer inquiries and requests
Work within DataForma to create Work Orders, and facilitate work orders to completion within the "work flow."
Maintain weekly timecard and WEX fuel card reports, cross reference WEX fuel cards with milage, report discrepancies in job locations, timecards and WEX fuel cards.
Maintain professional and organized file systems for Job Accounts, work orders and all office related filing. A high-volume file management to ensure all files are complete, all authorizations and information is present for work completed.
Use of Accounting software and DataForma software to generate and track photo reports per the workflow folders and submit invoices in a Timely manner for completed work.
Tracking of the Aged A/R and assisting with Collections.
Collect, file and submit new hire paperwork.
Liaise with payroll, timecards, time data entry, termination paperwork, payroll authorizations etc.
Tracking A/P for Business accounts to ensure all bills are paid on time.
Collection and maintenance of customer contact and relevant information in DataForma.
Overview coding of expense reports, reimbursements and receipts.
Order Office Supplies
Travel upon request to manage/run a booth for trade shows and other events as needed
Attend "Lunch and Learns" for transcription, writing transmittals and keeping of meeting minutes
Requirements:
- Opportunity to train and grow under company may be beneficial. Minimal experience is required as we will train our process and procedures. - Proficiency in calendar management and scheduling - Strong organizational skills with attention to detail - Experience in vendor management is a plus - Knowledge of human resources processes is advantageous - Excellent communication skills, both written and verbal - Ability to travel upon request
