Summary:
Provides administrative support to executive officers. Requires in-depth knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Prepares presentation materials for board of director meetings. Makes high-level contacts of a sensitive nature inside and outside the company. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. Requires experience working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.
Responsibilities:
- Handle confidential and non-routine information
- Work independently and within a team on special and nonrecurring and ongoing projects
- Organize company meetings, both in-person and teleconference
- Organize company events, include coordination of event payment, ticket handling, etc.
- Coordinate travel as needed, to include but not limited to airfare, hotel and transportation arrangements
- Prepare expense report for approval and payment for Executive team
- Prepare expense report for approval and payment of company credit card
- Create, design, edit, distribute correspondence and presentations for members of leadership
- Work with the legal department to review, edit and prepare various documents and contracts for Executive(s) signature
- Coordinate and gain approval from Executive(s) to process signature on sensitive documents, maintain documentation of their approval to process
- Maintain Executive team member(s) calendars, contacts, and email
- Establish and maintain Executive team member(s) records and files, to include but not limited to contracts, NDA’s presentations, stock options and personal files
- Answer and refer telephone calls or other inquiries to ensure accurate and timely communications
- Consistently demonstrate ability to respond to changing situations in a flexible manner
Experience: Minimum of 5 - 7 years working experience supporting leadership or executive(s)
Skills:
- Strong knowledge of Microsoft Office (Word, Excel, PowerPoint)
- Detail oriented with excellent organizational, time management, and interpersonal communication skills.
- Ability to multitask and demonstrate high-level of flexibility and discretion.
Physical Location: Tempe, AZ - Headquarters
Work Schedule: Monday-Friday, 8:00am-5:00pm
